o Develop the collection as per order requests received from Faculty Libraries
o Place information resources orders
o
Assist in negotiating acquisitions deals with service providers, suppliers, and internal stakeholders
o Provide input to Acquisitions policy, procedures and guidelines
o
Receive order reports from the service providers and updates orders with the relevant order status information.
o
Ensure that procedures, guidelines and policies are implemented and followed.
o Process invoices and follow up on overdue invoices
o Complete monthly Sierra-Oracle integration reconciliation report
o
Load budget allocations and process invoices
o
Recommend and implement new system developments and changes on instructions from Systems Librarian
o Performs regular quality control checks to ensure the accuracy of order data.
o Liaise with Faculty Library Managers and suppliers by monitoring and reporting all orders and invoice queries
o Report orders and invoice queries with suppliers/service providers
o Monitor outstanding orders and follow up with service providers/vendors on a regular basis.
o Maintain vendor database and relevant vendor bibliographic information
o Compile monthly and annual order status reports
Recommendation:
It is highly recommended that interested candidates be registered members of the professional body: Library and Information Association of South Africa (LIASA)
Knowledge and skills:
o Knowledge of library organisation and processes
o Knowledge of procurement processes related to acquisitions
o Operational knowledge of vendors and their services
o Knowledge and understanding of Supply Chain Management processes
o Knowledge of purchasing documentation
o Interpretation of invoices, statements, delivery notes, renewals, approval notes etc.
o Knowledge of bibliographic terminology, formats and data
o Knowledge of financial management
o Flexibility and adaptability in managing tasks to meet changes in procedures, processes, and technology required
o Good report writing skills
o Statistical reports
Qualifications and Required Skills:
o B.Bibl, BInf degree or Bachelor's Degree plus Postgraduate Diploma in Library and Information Science or Honours in LIS, with 3 years relevant experience with acquisitions processes and
collection development in an academic or research library.
