Job Description


Opportunity for a strong Administrator who is confident and a great communicator to join a Ballito based Company with a fresh and innovative approach to the Real Estate industry, following an unconventional and entirely unique sales system. They specialize in both development sales and open market sales.

General office:

  • Managing office supplies & equipment - Purchasing & managing - Tea, coffee, stationary, water, pre -paid electricity, cleaning supplies, aircon servicing, printer supplies & servicing, Wi-FI, any repairs & maintenance.
  • Compilation & completion of Applications for service providers.
  • Answering Switchboard & transferring calls - not a busy switchboard.
  • General communication with walk in clients.
  • Managing asset keys - Receiving & handing out.
  • Managing & maintaining records for petty cash box.
  • Compilation of duty rosters & updating calendars for duty rosters.
Sales Administration:
  • Drafting letters to buyers, sellers, attorneys & bond originators.
  • Compilation of cover sheets for files.
  • Compilation of commission sheets for files.
  • Capturing of sales data & records - Maintain & updating daily.
  • Daily follow up & communication with buyers, sellers, attorneys, bond originators & sales agents.
  • Creating hard copy files of all transactions & maintain the filing system.
  • Creating electronic copy file of all transactions & maintain the filing system.
  • Updating & maintaining price & availability schedule for developments & distributing according.
  • Completion of Estate registration documents & compilation of documents for applications - New & Renewals.
  • Updating of online listing systems & other platforms - Propdata & SupaPro.
  • FICA - Request, record, verify, maintain records & report - For Buyers & Sellers.
  • Managing ordering & issuing of handover gifts.
Rentals Administration:
  • Checking & verifying documents provided for credit checks - Co-ordination with letting agents.
  • Checking lease documents have been completed correctly - Co-ordination with letting agents.
  • Compilation of cover sheets for files.
  • Compilation of commission sheets for files.
  • Capturing of leasing data & records - Maintain & updating.
  • Creating hard copy files of all transactions & maintain the filing system.
  • Creating electronic copy file of all transactions & maintain the filing system.
  • Completion of Estate registration documents & compilation of documents for applications - New & Renewals.
  • Updating of online listing systems & other platforms -TPN, WeConnectU, RedRabbit.
  • FICA - Request, record, verify, maintain records & report - For Tenants & Landlords - Co-ordination with letting agents.
  • Managing maintenance requests with service providers, landlords & tenants.
  • Completing exit inspections with tenants.
