Providing administrative support to the office of Centre for Health Science Education (CHSE) including:
1.
Events Management
Coordinating venues, catering, parking, and audiovisual equipment.
Managing printing requirements, CPD applications, and registers.
Overseeing short course registrations and workshop attendance lists.
2.
Communication
Liaising with the Faculty communications team to advertise workshops, update the CHSE website, and manage publicity.
Handling the reception desk, general queries, phone calls, and emails.
3.
Procurement and Finance Management
Sourcing quotations and managing procurement requests.
Organizing staff claims, travel, and accommodation.
Managing grants and project finances effectively.
4.
Asset/Stock Control
Maintaining an up-to-date asset register and stock for events.
Ensuring office supplies and equipment are well managed.
5.
Support for Postgraduate Programmes
Providing administrative support for the Postgraduate Diploma (PGD) and Master's (MHSE) in Health Science Education.
Managing student enrolment, academic marks uploads, and course platforms.
6.
Centre Administrative Duties
Scheduling meetings and maintaining organized records.
Managing building maintenance requests and tracking project progress.
Circulating key communications to the CHSE team.
Minimum requirements to apply for this position:
Matric
Recognised post matric qualification in administration or a Health Science discipline
Written and verbal communication skills at a high level
Three years' relevant administrative experience or candidates with experience in the Faculty of Health Sciences at the University of Witwatersrand preferable.
Understanding of student experience at a higher education institution as advantageous
Abilities, qualifications or experience that would be an advantage in your application
Proven analytical skills
Knowledge of system like AMS and Ulwazi
Desirable personal abilities of the successful applicant
Positive work attitude
Good administrative skills with working knowledge of Microsoft Office
Able to work under pressure and adhere to deadlines
Good interpersonal skills, tactful, respectful, non-judgmental and punctual
Initiative, Financial management planning and organizing skills
Excellent verbal and written communication skills
Knowledge of I-procurement system and Sims
Computer skills, especially Excel and Word
