Job Summary Purpose of the job Providing excellent service to all clients will be the primary responsibility of the Administrator, who will ensure a high standard of quality in validating and processing instructions received by the company. In this role, you are responsible for processing incoming work, following up on pending tasks, and correctly processing client instructions. Main duties and responsibilities The accurate validation and processing of all client instructions into administration system and ensuring the constant review and updating of the workflow system. Ensuring all incoming work is validated and captured within required turnaround times and before relevant cut-off times as agreed upon in the Service Level Agreement with the clients. Ensuring that all instructions received comply with business rules and legislative requirements. Follow up on outstanding requirements from clients and intermediaries via telephone and email. Assist with the prevention of fraud and money laundering by adhering to business and legal requirements. Technical understanding of the company and the client offerings and the ability to apply that understanding to daily outputs. Correct and timeous sighting of errors. Support fellow team members and Team Leader. Ad hoc duties may be given from time to time. Contribute to solving problems for clients by actively participating in the companys continuous improvement drive. Person Specification Ideal experience Ideally 1 years experience within a Linked Investment Service Provider/Financial Services Industry Alternately, experience within the operational space looking after Unit Trust administration be advantageous. Ideal qualifications Matric / Grade 12 Relevant tertiary qualification would be an advantage in B. Com, Accounting or Finance Competencies and ideal personality attributes Maintain a resilient and tenacious attitude; positivity and enthusiasm are key. Ability to effectively collaborate in and across teams. Having a genuine passion and commitment to service excellence is essential. Strong verbal and written communication skills are essential. Analytical thinking skills with high attention to detail. Excellent numerical, communication and problem-solving skills together with a solutions driven mind set is needed. Relationship building and interpersonal skills. Ability to self-manage, work under pressure, multi-task, prioritize and meet deadlines. Ability to methodically plan, organize and manage various tasks with detail and due care. Ability to exercise appropriate judgement and discretion. Proactive with a sense of urgency and the ability to make quick decisions and establish priorities. Ability to work under pressure and meet deadlines, ensuring delivery of high-quality output. Unquestionable integrity and accountability. Adaptable, flexible (including flexibility in working hours), self-motivated, results driven, and a quick learner will work well in our challenging and dynamic environment.
