Job Description


Location:Bryanston, JohannesburgReporting to:AP-X Travel ManagerAP-X is a donor retention and engagement strategy tool that allow donors and private guides a unique behind-the-scenes, full access, expedition into any of the parks. The AP-X travel designer is responsible for the planning, execution and delivery of trips for the fundraising teams, AP-X private guide network, existing strategic donors and AP Board members. In addition the Travel designer will help plan travel for AP events such as Management meetings, Translocations, Strategic partner events and any other events that require complex and large group travel within the organization.Job Purpose:The AP-X Travel designer will be responsible for both itinerary planning, administrative and operational support to the AP-X travel manager.Key Responsibilities:Included but not limited to the following - * Travel Design

  • Assistance with managing reservations, booking process and itineraries (Safari Portal)
  • Liaising with ground handlers and preferred AP-X suppliers
  • Updating parks accordingly with detailed guest information around the trip
  • Administration
  • Invoices (guests and suppliers)
  • Allocation of payments from guests and payments to suppliers
  • Trip recons (invoices, supplier invoices, proof of payments, credit notes)
  • Following up with suppliers and ground handlers
  • Monthly reporting on expeditions and revenue
  • Updating of expedition boards in the office
  • Research and assistance on guest profiles
  • SalesForce updates
  • ResRequest (ensuring that guest profiles, invoices, payments, proof of payments, reservations and reporting are up to date and current)
  • Assisting with and implementing AP-X standard operating procedures
  • Operational
  • Support the AP-X travel manager as and when required with expeditions, operational requirements or ad-hoc requirements
  • Liaising and assistance with expedition WhatsApp groups
  • Tertiary qualification
  • A minimum of 7 years in the high-end safari industry - both in operations and reservations
  • Experience using ResRequest and Safari Portal (itinerary builder) - or similar
  • Basic booking keeping and financial acumen
  • A professional, fun, creative, team player who is willing to share ideas and learnings with others
  • The ability to take initiative, with excellent planning and organizational skills
  • The ability to also work independently and be self-motivated
  • Attention to detail with a high level of accuracy upon execution of tasks
  • Comfortable with multi-tasking on various tasks simultaneously
  • Capable of nuanced and complex written and verbal communication
  • Computer literate - Microsoft Office 365 (Outlook, Share Point, Word, Excel, Power Point, etc)
  • The ability to build and manage relationships with a wide variety of people and culture
  • Working knowledge of French, a distinct advantage
