Duties and responsibilities



Perform general office administration. Perform procurement duties, including requesting quotations, creation of e-requisitions and distribution of purchase orders etc. Manage filing and office record-keeping system. Perform laboratory inventory stock taking and report. Schedule meetings, departmental diaries, managing invitees, preparing the agenda, minute taking, distributing minutes and action points. Administer meeting logistics, including venue bookings, technical support, etc. Liaise with external service providers, specifically vendors providing services. Order office supplies. Facilitate research travel and accommodation arrangements of academic staff and students. Administrate ad-hoc claims. Facilitate and coordinate visitor administration, which includes parking arrangements and receiving visitors. Log maintenance calls if and when required. Assist the head of the unit as may be required from time to time. Assist the marketing and logistics in the organization of workshops when required. Facilitate marketing material, brochures, flyers and promotional items through the Faculty's Marketing and Communication Division. Assist with the onboarding of new staff and students and scheduling training and development interventions on request of the lead researcher.

Inherent Job Requirements:



Grade 12 or National Vocational Certificate on NQF level 4. One (1) year of working experience closely related to office management.

Knowledge of the UFS people soft system. Experience working in a higher education environment.

Salary:



The annual remuneration package, including benefits is

R231 699.90 - R388 426.59 per annum,

depending on the budget available for the position, relevant work experience and qualifications.
