Job Description


FORMAL EDUCATION AND EXPERIENCE:

  • Grade 12
  • APMP certified xe2x80x93 at least Foundation level.
  • Minimum five (5) years of related experience in the ICT / Services/ Telecoms industry.
  • At least (5) years of experience in the development and execution of tenders
  • Experience in project management
  • Strong technical proficiency in Microsoft Office (including Teams) and Adobe required.
  • SharePoint experience
REQUIREMENTS:
  • Leading proposal/tender/bid response activities from various sources within the company.
  • Ability to analyse RFP content and amendments, develop bid plan, roles and responsibilities, task schedule, and coordinate other resources within the bid team to successfully submit a response.
  • Working with deal owners and solution teams in developing effective win strategies, themes and differentiators within tender requirements.
  • Familiarity with bid planning concepts, tools, processes, and the bid life cycle.
  • Completing Outlines/Storyboards/Compliance Matrixes with bid team.
  • Contributing to content development.
  • Coordinating technical writing assignments with subject matter leadership team.
  • Providing initial rough draft review from writers to make sure RFP requirements and selection criteria are addressed.
  • Follow established Gijima proposal and quality assurance/quality process
  • Coordinate collection and delivery of tender documents, ensuring timely submissions.
  • Coordinate with marketing manager and client services for proposal/due diligence/presentation support and market initiatives.
  • Maintain the bid library of all tender records, organising and storing both electronic and hard-copy information and records.
  • Understanding service linexe2x80x99s unique proposal requirements while maintaining overall company standards.
  • Ensuring the creation and maintenance of market specific proposals.
  • Follow up on submitted tenders, and source information on those bids.
  • Lead and coordinate internal bid meetings, correspondence, action items and follow ups.
RESPONSIBILITIES:
  • Registering bids
  • Coordinating and project managing the end-to-end bid process for strategic pursuits
  • Preparation of detailed bid plans and management of bid activities against the bid plan (annotated outline)
  • Proactive risk and issue management in collaboration with Sales, Legal, Finance and HR on bid response delivery
  • Provides information and/or participates in the risk review process in accordance with our policies
  • Creation of winning response material
  • Works closely with the bid team to assure delivery against key business requirements and milestones as per the Roles and Responsibilities
  • Manage quality of the proposal to highest standards and in line with business objectives
  • Track and communicate bid status, plans, issues, timelines, action items, risks and issues
  • Responsible for the quality of a bid
  • Develop contingency plans to deliver on timelines.
  • Assure process compliance with all regulatory and procedural requirements
  • Work as a member of the team to drive consistency and efficiency in all proposals
  • Bid handover to delivery, ensuring the necessary approvals are in place
  • Identify opportunities for process improvements (assess, recommend)
KNOWLEDGE AND SKILLS REQUIRED:
  • Fluent writing/speaking English.
  • High level of understanding of the political stability in various countries and regions across Africa.
  • Experience with complex / multi-BU tenders.
  • Experience in a role requiring the ability to develop and produce proposal material.
  • Demonstrate ability to organise and manage multiple priorities including the management of a tender/bid team.
  • Ability to effectively work with senior-level executives to drive initiatives and attain business goals.
  • Strong interpersonal skills, good judgment, and ability to communicate effectively with a diverse range of individuals.
  • Excellent written and verbal communication skills.
  • Strong organisational, time management, problem solving, attention to detail and analytical skills.
  • Ability to work independently as well as in a team environment; offer constructive feedback and direction to support goals.
  • Knowledge of public procurement contracting and tendering principles.
  • Highly effective planning, organisational, and time management skills.
  • Demonstrated ability to efficiently read, interpret, and present information.
