Business Unit Manager - Kathu, Northern CapeSUMMARY OF POSITIONThe Business Unit Manager is responsible for managing staff within their Business Unit; fostering a positive environment and ensuring customer satisfaction as well as running the Business Unit in a professional manner. He must have a hands-on approach and will be responsible for managing the projects and operational staff and overseeing their daily tasks. He will be committed to the expansion and success of the business by implementing strategies that increase productivity and enable sales targets achievement.A Business Unit is normally a specific segment or part of the branch that delivers services to specific client(s) most often Key Accounts. A Business Unit Manager in a branch looks after specific clients and sites. This is different to the Business Units in Gauteng that looks after a broad spectrum of business and clients.Gauteng North - The BU has its own admin and own stores, based in Centurion. Gauteng South - Two Business Units with a combined admin and one store.Requirement for creation of a Business Unit in branches (other than Gauteng):The BU ManagerAt least one BU AdministratorSpecific Teams allocated to the BUBU Targets that will contribute to overall branch targetOne Store and Stock issued to BU specific job numbers / cardsSafety - shared, until BU has grown enough to justify separate SHEQ Coordinator.ROLES AND RESPONSIBILITIESScheduling and CoordinationSchedule jobs and daily tasks for the BU specific Operational Teams to maximise productivity. Ensure that job scheduling is done in such a way that teams are utilised to their strengths and work where they are most effective. Involve relevant stakeholders in the scheduling process (stores, admin, safety etc)Ensure that the coordination of scheduling with clients takes place, to ensure availability of client resources on the day that the job is scheduled to take place.Constantly monitor the flow of work, to identify potential problems and challenges before they occur and adjust planning and scheduling accordingly.Management of Business Unit ResourcesSchedules and manages all resources required for a project / job, ensuring procurement of materials is done timeously and effectively, to minimise wastage or unnecessary purchasing of materials.Liaise with Stores regarding specific stock levels required for the BU. Monitoring of stock levels (ensure minimum levels are maintained) to ensure that stock is available for installations.Ensure installations are completed in time and within budget, closely manage the WIP.Follow the necessary procedure to address a team that is underperforming - constantly not meeting deadlines or not reaching team targets.Strict Overtime Control and Authorisation. Overtime must be productive, not meant to make up for team inefficiencies.Quality Assurance and Client ManagementBU Manager must regularly visit the clients and sites allocated to that Business Unit. Quality of work on site is paramount. Client engagement and satisfaction equally so.To achieve this, the BU Manager needs to continuously inspect the quality of work on site:During an installation, to ensure that any problems are corrected as soon as possible.After an installation, to sign off on the Quality Assurance documents for the installation.Managing ProjectsIt is important to note that this is not a primary function for the BU Manager, he will only assist a Team Leader or Project Leader in this area.Accurately draft a project plan and identify critical areas to discuss with the relevant stakeholders (Client, Project Leader and Branch Manager).Attends project meetings when required and receive regular feedback from Project/Team Leaders to update Project Plans.Provide guidance to Project/Team Leaders with job related issues - assist them in identifying the issue and how to resolve it. Provide resources as required but allow the Project / Team Leader to see the job through - do not take over difficult installations and neglect other duties, unless absolutely necessary.Sales and Client Management - FarmingActively seek new business opportunities, identify shortfalls and possible risks, inform the client and offer solutions to mitigate the risk or shortfall.Identify opportunities to introduce new technology to existing clients. Create new revenue streams.Always be open and honest with your client, own up to mistakes and rectify them! Once Trust is lost, it is virtually impossible to regain.Quote timeously, accurately and provide a detailed scope of work so that the client is sure all aspects of his request is covered. Take time to discuss quotes with the client, this builds the trust relationship.Listen to the Client, do not force your opinion. Ensure that you listen, comprehend and then respond. If unsure of your facts, inform the client that you will investigate and get back to him. There is a vast pool of knowledge in ICS, tap into that knowledge.National and Key Accounts are critical to the branch and business overall, treat them as priority clients, ensuring client satisfaction and adherence to the national service delivery standard.Financials and OperationsAchieving profitability goals and objectives of the Business Unit:Understanding the basics of branch financials and understanding the impact of certain aspects on Business Unit and Branch profitabilityProvide information as required to assist the Branch Manager in developing the sales and expense budget for the Branch operations (Budget planning)Actively participate in regular WIP meetings with relevant stakeholders to evaluate the GP of jobs (too small or large GP) to limit wastage and increase profitability on jobs.Employee Management - Related to the employees and their growth in the Business UnitDiscuss employment contracts with each new employeeComplete employee performance reviews twice a yearComplete employee talent reviews once every 2 yearsOnce an Individual Development Plan (IDP) is provided by HR, provide support in the implementation of IDPs and employee developmentSupport employees who are part of the Advancement and Accelerated Development PlansProvide internal training opportunities within the BU, to support the skill development of employees. Continuously upskill operational employees to ensure sound knowledge of technical skills and installation standards.Discipline staff when required, ensuring that Branch Managers do not need to deal with smaller disciplinary issues. When required, discuss any employees with a poor attitude or that negatively impacts the team environment with the Branch Manager, to determine a strategy to deal with the employee.AdministrationReview Job Cards handed in by Team Leaders for accuracy, before passing it on to admin for processing. This will speed up the process and save time. Also acts as control measure to determine if job was done in the correct time, within budget. (Control Wastage)Ensure project / job handover documentation is completed and provided to client and that any final concerns or changes are completed. Documentation includes, but is not limited to:Site plans and drawingsTest resultsCertification documentsEnsure that company property is safeguarded by doing monthly checks on toolboxes, toolkits, hand tools, drills, testers, splice machines, ladders etc and ensuring that proper procedure is followed if property is lost or damaged.Takes responsibility for Company vehicles and adheres to Company Fleet policy.
