The ideal candidate will support the purchasing team in sourcing, ordering, and managing supplies, while assisting with administrative tasks related to catering and food service operations. Duties will include, but are not limited to:
  • Support Catering Purchasing - Assisting the Senior Buyer in sourcing and ordering food, beverages, and catering supplies from approved vendors, ensuring timely and cost-effective procurement.
  • Supplier Coordination - Maintain effective communication with suppliers, ensuring accurate and timely delivery of goods. Promptly communicate any supply-related issues to the Senior Buyer for swift resolution. Handle any discrepancies or issues with product deliveries or quality concerns.
  • Cost Control - Review and analyze both new and existing costs, actively contributing to cost-reduction initiatives.
  • Inventory Management- Track inventory levels for catering items, ensuring stock levels are maintained and reorder points are identified to avoid shortages or excess.
  • Order Processing - Accurately process purchase orders and requisitions, ensuring they are accurately completed and entered into the procurement system. Maintain records of all orders and deliveries.
  • Data Entry & Reporting- Enter and update procurement data into internal systems, maintaining pricing accuracy in inventory and purchasing records. Generate reports on spending, delivery timelines, and inventory status.
  • Catering Menu Support - Assist in coordinating and managing food supply needs for catering events, ensuring that the correct products are available for each event.
  • Documentation & Filing - Organize and maintain procurement documentation, including invoices, contracts, and order histories.
  • Communication & Coordination- Liaise with all internal departments such as but not limited to, the catering team, kitchen staff, and event coordinators to ensure alignment for procurement needs and event requirements.
  • Vendor Relationships - Assist with the ongoing development and maintenance of strong, effective relationships with suppliers and vendors, seeking out opportunities for cost savings and quality improvement.
  • Compliance - Ensure all procurement activities comply with company policies, industry standards, and relevant regulations.
Qualifications:
  • A degree or qualification in Business Administration, Supply Chain Management, or a related field is advantageous.
Experience:
  • Previous experience in a purchasing or administrative support role is preferred, especially in the foodservice, catering, or hospitality industries.
Skills:
  • Strong analytical and critical thinking skills
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Strong problem-solving skills and a customer-focused attitude.
  • Excellent written and verbal communication abilities.
  • Basic knowledge of inventory management and supply chain processes.
  • Strong organizational skills with a keen attention to detail.
  • Ability to work efficiently under pressure and meet deadlines

Normal working hours are Mondays to Fridays from 08h00 until 17h00 with a 45-minute lunch break. The company allows employees, by approval of the direct manager, to work flexi-time between 07h00 and 18h00.With centrally located and modern offices just across from Cavendish in Claremont, Faircape offers a market-related salary from R 22 000 Cost to Company per month.
