Duties and Responsibilities:
Front Desk Management
:
Greet and assist visitors, clients, and employees in a professional manner.
Answer incoming calls, direct them to the appropriate personnel, and take messages if necessary.
Administrative Support
:
Schedule appointments and manage the calendar for executives or departments.
Maintain office filing systems and keep records up to date.
Prepare and send correspondence (emails, letters, packages).
Data Entry and Management
:
Input and update information in databases and company records.
Assist with data entry tasks as required by different departments.
Customer Service
:
Address inquiries and resolve issues or direct them to the appropriate personnel.
Provide information about the organization's services, hours, and policies.
Maintenance of Office Supplies
:
Monitor and order office supplies as needed.
Ensure the reception area is neat and organized.
Coordination of Meetings
:
Set up conference rooms and ensure necessary equipment is available for meetings.
Arrange catering or refreshments for meetings when required.
Compliance and Confidentiality
:
Adhere to company policies regarding confidentiality and data protection.
Maintain professional conduct and a welcoming environment throughout the office.
Additional Responsibilities:
Assist with onboarding new employees by providing orientation for office policies and procedures.
