Greet visitors warmly and provide assistance or information as required.
Answer phone calls courteously and direct them to the appropriate personnel.
Respond to inquiries promptly, both in person and over the phone.
2. Reception Area Management:
Maintain the reception area and common areas in a neat and orderly manner.
Ensure that all office equipment, including fax machines, copiers, and computers, are operational.
Keep accurate records of visitor requests and incoming calls.
3. Administrative Support:
Assist the campus back office with administrative tasks as needed.
Handle deliveries, sort incoming mail, and distribute it to the respective recipients.
Monitor office supplies inventory and replenish items as required.
4. Facility Issue Tracking:
Track all facility-related issues and communicate them promptly to the facilities team.
Monitor the resolution progress of reported issues and follow up as necessary.
5. Asset Tracking and Management:
Maintain an accurate inventory of assets borrowed from the front desk, such as aircon remotes, TV screen remotes, adapters, etc.
Follow up on items not returned promptly and communicate any discrepancies to the appropriate parties.
Prepare monthly reports on borrowed items and submit them to the Property Sales and Events Manager for billing purposes.
6. Communication and Coordination:
Send out communication to tenants regarding relevant updates or announcements.
Ensure that the reception screen displays relevant content and escalate any issues to the marketing team.
Manage the boardroom booking system, ensuring that users are booked and billed accordingly.
Coordinate with cleaning staff to ensure boardrooms are cleaned after each meeting.
7. Constituent Relationship Management:
Cultivate and maintain positive relationships with stakeholders and potential constituents.
Identify opportunities to strengthen relationships within the company's context and implement appropriate relationship management policies.
8. Problem Solving and Initiative:
Proactively identify and address any issues that may affect the efficiency of campus operations or customer satisfaction.
Take initiative to manage own work projects effectively and efficiently.
