Chief Operating Officer (COO) -
Position Overview:
We are seeking a results-driven and strategic Chief Operating Officer (COO) to oversee the day-to-day operations of our therapy company, with a primary focus on driving operational efficiencies, financial management, and growth. The ideal candidate will bring a strong background in financial operations, combined with a passion for enhancing patient experience and ensuring smooth clinic performance.
Key Responsibilities:

  • Operational Efficiency:
  • Focus on continuously improving clinic efficiency by identifying bottlenecks and inefficiencies in processes.
  • Utilize a critical thinking approach to assess current operations and develop actionable strategies to improve workflows, reduce waste, and streamline operationsxe2x80x94always considering ways to balance cost savings with quality service.
  • Monitor and optimize remote service delivery models, ensuring that the experience for both patients and practitioners is seamless, efficient, and effective.
  • Patient Experience:
  • Champion a patient-centered approach, ensuring that the patient experience is prioritized across all aspects of the clinics operations.
  • Continuously assess patient satisfaction and seek feedback to enhance care delivery and overall service.
  • Work closely with clinical teams to ensure that processes, from scheduling to follow-ups, meet the highest standards of patient care.
  • Human Resources Oversight:
  • Oversee HR functions, ensuring smooth operations related to employee performance, compliance, and retention.
  • While you wont be directly involved in hiring or training, you will be responsible for making sure that HR strategies are aligned with the clinics operational and growth goals, and that a supportive, efficient workplace culture is maintained.
  • Growth & Strategic Planning:
  • Lead the development and execution of strategies that drive the clinics growth, both in terms of operational scale and service delivery.
  • Focus on long-term planning that incorporates both the immediate needs of the clinic and its future expansion.
  • Identify new areas of opportunity to expand the organization, while ensuring that growth efforts are aligned with the companys mission and values.
  • Think creatively and outside the box to improve operational processes, reduce inefficiencies, and leverage resources for maximum benefit.
  • Financial & Revenue Cycle Management:
  • Lead and oversee the complete revenue cycle management, ensuring that billing, collection, and reimbursement processes are efficient and accurate.
  • Analyze and identify opportunities for financial improvements within the revenue cycle to maximize revenue and minimize errors.
  • Drive expense management by identifying areas for cost reduction, negotiating vendor contracts, and finding creative solutions that maintain the quality of service while improving profitability.
  • Collaborate with the financial specialist (who will manage bookkeeping, accounting, QuickBooks, and day-to-day financial tasks) to ensure financial records are accurate, timely, and up to date.
  • Review regular financial reports from the financial specialist to monitor performance, identify trends, and guide decision-making.
  • Marketing & Brand Oversight:
  • Support marketing efforts by providing high-level oversight, ensuring that marketing strategies align with organizational goals and drive patient acquisition and retention.
  • Stay informed about trends in the healthcare space to guide when and how to adjust marketing efforts, including digital strategies, in alignment with the clinics growth goals.
  • Payroll & Administration:
  • Oversee payroll administration, ensuring that compensation is accurate, timely, and compliant with relevant regulations.
Qualifications & Skills:
  • Proven experience in a COO role.
  • As we deliver therapy services by licensed professionals, were ideally seeking a leader who has experience or a deep understanding of the mental health/clinical field, and someone who is passionate about driving continuous improvement for the benefit of patients, practitioners, and the organization.
  • Strong financial acumen with hands-on experience in revenue cycle management, budgeting, and financial analysis.
  • A track record of driving operational efficiencies and managing organizational change in a service-based setting.
  • Strong understanding of patient experience in a clinical or healthcare environment, with the ability to translate that focus into actionable operational improvements.
  • Experience working in remote therapy environments is a plus.
  • Ability to think critically and creatively, identifying areas for improvement and developing innovative solutions to enhance clinic performance, reduce costs, and drive efficiency.
  • Excellent leadership and communication skills, with the ability to inspire teams, manage cross-departmental collaboration, and align all efforts toward the companys goals.
