Prepare and distribute work detailed monthly, quarterly and yearly reports to COO.
Provide required information and documents to clients.
Provide support and assistance to other management teams.
Provide feedback to management on areas of improvements.
Recommend implementation of enhanced processes.
Plan and schedule monthly meetings with Management.
Collaborate with clients to identify and implement value added services.
Assist in Maintaining Management Documentation
Greet and welcome guests as soon as they arrive at the office.
Direct visitors to the appropriate person and office
Answer, screen, and forward incoming phone calls
Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)
Provide basic and accurate information in-person and via phone/email.
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
Order front office supplies and keep inventory of stock.
Update calendars and schedule meetings of COO
Attend and arrange networking events
Liaise with key role players in business environment
Ensure all documentation and communication are done according to AS's quality management system policies and procedures
Prepare boardrooms prior to bookings as per meeting requirements
Admin and support with proposals and presentations
Effectively plan and co-ordinate events, workshops and conferences on behalf of the COO
Monitoring the use of corporate purchasing and credit cards
Set up and arrange meetings with potential clients
Act as hostess when visitors visit site
Internal and External communication
Filing system for COO
Qualifications
Tertiary qualification in Public Relations will be to your advantage.
Computer literacy - Microsoft Office Word, Excel and Outlook
Work experience
5 - 7 years of experience directly related to the duties and responsibilities specified
Personal abilities
Proficiency in Microsoft Office Suite
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
