  • Diploma in shipping/supply chain & logistics.
  • Degree in shipping/Supply chain & logistics.an advantage
Experience
  • 4 - 6 years' experience with road, sea and airfreight for imports
  • Shipping experience from an engineering / mining / construction company preferrable
Specific Knowledge Requirements
  • Microsoft Office & SAP Proficient or similar ERP.
  • Administration in a logistics/shipping/import - import environment.
  • Knowledge of import processes, customs and foreign exchange.
  • Proven knowledge of South African revenue services country of origin customs rules and regulations.
  • Basic Financial Experience: Grade 12 Accounting/Maths or similar..
Summary Description of Role1. Shipping Imports/ Merchant Trading
  • Supervises the execution of shipping imports/merchant trading
  • Supervising productivity of team
  • Checking documentation for completeness in compliance of regulations and agreed costings
  • Ensure compliance to port and airport laws and regulations for customs clearance
  • Preparing correct and accurate clearing instructions
  • Open electronic shipment files
  • Updating insurance register/data for every shipment received
  • Adhering to abnormal loads and embargo's
  • Oversees customs and SARS Audits
  • Advise and provide guidance on SARS Audit requirements
  • Ensure alignment to master data for tariff codes
  • Check and verify customs documentation for compliance
  • Tracking of shipments as per stipulated lead times
  • Monitor all inbounds for warehouse goods receipts
  • Maintaining electronic document files
  • Resolving shipment queries
  • Produce insurance, freight costs, sailing schedule report and shipment overdue for payment reports etc.
2. Accounts Payable/Invoicing
  • Administrates Accounts Payable
  • Keeping shipping files up-to-date with all source documents
  • Double checking of agent's charges relating directly to the landed cost of freight and ensuring the timeous receipt of credits
  • Processing supplier/service provider invoice onto ERP system for payment and reconciliation by Finance
  • Verifying and checking Purchase Orders, GRV Details and Invoices/statements
  • Assisting with financial month-end activities
  • Administrates Credit Notes
3. Shipping Logistics/Transportation
  • Supervises the planning, preparation and checking of ad-hoc abnormal inbound shipments
  • Request for quotes (RFQ) from abnormal transporters
  • Stays abreast of changes to policy and procedure & assisting in the roll-out of changes
  • Supervises and coordinates shipping activities
  • Facilitating and coordinating special deliveries and collections from operational units
  • Checking that inbound documentation are maintained (intercompany)
  • Assumes responsibility for accuracy of data on the system
  • Conduct regular internal audits
  • Monitors health & safety compliance
  • Maintains Electronic document files
  • Scan and save documents as per shipments
  • Communicate shipment details to relevant internal & external customers
4. Continuous improvement
  • Stays abreast of systems changes and enhancements
  • Maintains good understanding of the business process
  • Executes troubleshooting & diagnostics
  • Observing and gathering information with regard to inefficiencies
  • Drafting proposals
  • Executing small projects
  • Liaising with all stakeholders in the process
  • Gains approvals for changes
  • Compiling spreadsheets for purposes of analysis
  • Conducting root cause analyses
  • Suggesting systems enhancements and changes
  • Conducting end-user testing of changes
