Job Description


Our client based in Pietermaritzburg is seeking a highly organized Deal Administrator to join their team. The ideal candidate should have exceptional attention to detail, and accuracy. The Deal Administrator will be managing the transaction lifecycle, ensuring compliance, and seamless execution of deals. * Experience & Qualifications:

  • Experience in a legal, financial, or administrative support role, particularly in deal administration or legal support.
  • A qualification in business administration, finance, law, or related fields is advantageous.
  • Previous involvement with legal document management, compliance checks, and reviewing legal agreements.
  • Technical Skills:
  • Proficiency in using systems like SharePoint for managing and organizing documents.
  • Strong knowledge of Microsoft Office (Excel, Word, Outlook) for documentation, record-keeping, and email correspondence.
  • Familiarity with tools for conducting credit checks, CIPC checks, and handling digital storage for legal documents.
  • Experience with uploading, managing, and distributing digital legal documents for signature.
  • Compliance Knowledge:
  • Familiarity with the compliance process, especially performing credit checks and CIPC checks to ensure all deals are compliant.
  • Awareness of the process for creating and reviewing legal documents, including loan agreements, investor schedules, and other documentation.
Responsibilities:
  • Receive and process deal leads.
  • Collate deal information and ensure completeness.
  • Coordinate with internal teams to manage deal execution timelines.
  • Maintain detailed records of transactions and update the internal dashboard.
  • Conduct compliance checks (credit/CIPC checks).
  • Assist in preparing investor schedules and loan agreements.
  • Upload legal documents for signature, manage digital storage, and distribute copies to relevant parties.
  • Provide administrative support for loan disbursements, repayments, and documentation.
  • Review and resolve discrepancies in legal documentation from outsourced legal teams.
  • Maintain summaries of securities per deal and liaise with legal teams to support their processes.
  • Send repayment notices to borrowers (one- and two-month notices).
  • Support general administration, including:
  • Client document management on SharePoint.
  • Managing email correspondence and scheduling meetings.
  • Setting up reminders for key dates (e.g., borrower and investor birthdays).
  • Handling ad hoc administrative requests from stakeholders (e.g., borrower invoice requests, information for credit).
  • Assisting analysts and outsourced legal support (Werksmans) by providing necessary documentation.
  • Performing credit checks.
  • Maintaining the deal dashboard, updating terms, and reminding credit of upcoming maturing deals.
  • Preparing investor schedules (the only legal document prepared in-house, following a set template; all other legal documents are handled by Werksmans).
  • Reviewing legal documents drafted by Werksmans under a three-eye policy for accuracy and completeness.
  • Maintaining the legal dashboard and following up on outstanding information with Werksmans.
  • Compiling deal packs for submission to the investment committee.
