We are seeking a skilled Dispatch & Customer Relations Officer to join our team. The ideal candidate will be proactive, detail-oriented, and dedicated to providing outstanding support to our customers while ensuring smooth dispatch operations. Job Responsibilities:
Communicate with clients and customers to provide timely and effective support.
Resolve customer queries, concerns, returns, and other communications using standardized CRM tools to ensure consistency and efficiency.
Generate customer sales reports to monitor satisfaction levels, monthly sales trends, and returns.
Maintain a database of all discounts provided by the company.
Track all returns and replacements, including device details, reasons, and customer data. Keep records of frequently asked questions and common complaints.
Stay updated on competitor data and offerings.
Ensure prompt response rates to customer inquiries and concerns.
Maintain and update company policies across all online channels.
Manage DSV/courier bookings for online store sales and wholesale client sales.
Coordinate regional DSV bookings, including booking, picking, and dispatching.
Verify invoices for all stock dispatched from HQ, obtaining signatures as needed.
Monitor and respond to emails, business WhatsApp lines, and other online communication channels.
Assist with stock takes and inventory management.
Organize and maintain documentation, including filing and record-keeping.
Pick orders according to converted sales orders/invoices and perform double checks to ensure accuracy.
Qualifications and Skills:
Bachelor's degree or equivalent experience preferred, however not required.
Proven experience in customer service and dispatch operations.
Proficiency in CRM software and Microsoft Office Suite.
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Attention to detail and accuracy in data entry and record-keeping.
Ability to work effectively in a fast-paced environment and prioritize tasks.
Knowledge of inventory management practices is a plus.
Ability to work independently and collaboratively within a team.
