The Compliance Officer is responsible for managing, organizing, and maintaining company documents, ensuring compliance with security regulations and company policies. This role involves overseeing document control systems, maintaining accurate records, and ensuring the confidentiality of sensitive information related to security operations.
Key Responsibilities:
Develop and implement document control procedures for all security-related files, reports, and operational documents.
Maintain a secure and organized document management system, ensuring easy retrieval and proper storage.
Ensure compliance with regulatory requirements, industry standards, and company policies.
Track the expiry of certificates and inform Security operations regularly, such as Psira, Medicals, Regulations 21, National Key Point, etc.
Conduct regular audits and updates of documents to maintain accuracy and relevance.
Assist in preparing reports and maintaining logs for incident reports, security policies, and training records.
Work closely with different departments, including operations, compliance, and HR, to ensure document integrity.
Support internal and external audits by providing required documentation and reports.
Train staff on document control policies and procedures to ensure compliance across the organization.
Ensure that all classified documents are handled with the highest level of confidentiality.
Requirements & Qualifications:
Mandatory
Diploma or Degree in Social Science, Records Management, or a related field.
Minimum of 2-3 years of experience in document control, records management, or a similar role, preferably in a security or compliance-driven industry.
Advantageous
Knowledge of document control standards, compliance regulations, and security procedures.
Strong attention to detail and excellent organizational skills.
Proficiency in document management software and Microsoft Office Suite.
Ability to handle confidential and sensitive information with discretion.
Strong communication skills, both written and verbal.
Experience with ISO 9001 or other quality management systems is an advantage.
