The Document Controller will work within the established Electronic Document Management System to ensure that project information is accurate, controlled, transmitted, filed and registered for optimized tracking and retrieval. Process project documents (hard and digital copies) in accordance with the Document Management Plan, Procedures and Guidelines.



Key Responsibilities:

  • Ensure that pre-established document control requirements (document lay out and numbering system, how many and which signatures are required for certain approvals, etc.) are satisfactorily met throughout the duration of the project
  • Set up filing structure, access rights & internal workflows on Electronic Document Management System when new project is registered.
  • Set up project specific document templates when new project is registered
  • Set up draft BIM Execution Plan for initial review by Design / BIM Manager on new projects
  • Expedite review, signature approval, and release of internally produced documents
  • Enter data, receive, track, and control documents using the Electronic Document Management System to register documents and maintain databases
  • Produce logs, transmittals, and other reports as required
  • Provide assistance to users in capturing and locating electronic information
  • Arrange hard copies filing and long-term storage or disposal documents at time of closeout.
  • Assist with general project specific administration tasks

Performance Criteria:
  • Ability to follow systems, procedures and work flow processes and contribute to their improvement.
  • Ability to work unsupervised and meet deadlines.
  • Willingness to ask when in doubt or facing new situations.
Deadlines:
  • Completion of work according to schedule.
  • The timeliness of performing his activities as well as the activities of his subordinates.
  • Submission of all reports and deliverables by their due dates.
  • Any other deadlines as determined by the Sector Lead, Design Manager and BIM Manager / Coordinator
Qualifications
  • Technical degree or equivalent experience, preferably with a bias toward Document Control
  • Technical project background and knowledge including familiarity with engineering documents such as reports, datasheets, lists and drawings.
  • BIM360 user experience
  • Microsoft Office proficiency
  • Minimum 5 years of experience with document control, preferably in large multi-disciplinary projects
