Job Description

Invoicing & Billing:



Accurately generate and send invoices for services rendered (repairs, maintenance, inspections, etc.).



Monitor payment statuses and follow up on overdue payments.



Maintain a clear and organized invoicing system.



Quotations & Estimates:



Prepare detailed and precise quotations for customers, based on the scope of work required for repairs and services.



Work closely with the technical team to ensure all costs are captured and communicated effectively to clients.



Address customer inquiries regarding quotes and provide further details when needed.



General Administrative Support:



Handle day-to-day administrative duties such as answering phone calls, managing emails, and scheduling meetings.



Maintain organized customer files, service logs, and repair histories.



Support the office by managing office supplies, ensuring the work environment is well-organized.



Customer Service & Communication:



Provide top-notch customer service by responding to inquiries and concerns in a timely manner.



Assist with client interactions, helping to resolve issues or provide information as needed.



Act as a liaison between the repair team and clients, ensuring clear communication throughout service delivery.



Data Entry & Documentation:



Input customer and service data into the company's management system, ensuring accuracy and completeness.



Maintain accurate records of transactions, quotations, and customer interactions.



Organize and update internal documentation, ensuring all repair and maintenance work is properly logged.



Team Support & Coordination:



Assist with coordinating repair schedules, meetings, and service requests.



Work closely with colleagues to ensure seamless operations and timely completion of tasks.



Support other departments as needed, helping to keep operations running smoothly.



Experience:



Proven experience in an administrative role, preferably within the aviation or technical service sector.



Previous experience handling invoicing, quotations, and customer service is highly preferred.



Skills:



Strong organizational skills and the ability to manage multiple tasks simultaneously.



Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with invoicing or customer management software



Exceptional communication skills, both written and verbal.



A keen eye for detail and accuracy, especially when dealing with numbers and client information.



Ability to work under pressure and meet deadlines while maintaining a high level of accuracy.



Education:



High school diploma or equivalent is required.



Additional qualifications in business administration, accounting, or a related field are desirable.
