Job Description


Dis-Chem Pharmacies has an opportunity available for an ESG Administrator at our Head Office in Midrand. The successful candidate will provide administrative support with the development, implementation, monitoring, and improvement of initiatives that promotes ESG and SHE both internally and externally.Minimum Requirements:Essential:

  • Grade 12 / Matric
  • Bachelor's degree in Social Science/ Business Administration
  • Minimum of 2 - 3 years' experience in administration or program coordination.
Advantageous
  • SHE or ESG administration experience within the corporate environment.
  • ISO 14001 and ISO 45001 implementation experience
Duties and Responsibilities:
  • Provide general administrative support to the ESG and SHE department.
  • Provide administrative support on projects and events related to ESG and SHE.
  • Schedule and coordinate the ESG/SHE committee meetings, document and circulate minutes of the meeting to all stakeholders.
  • Ensure the implementation of ESG/SHE action plans by following up with the relevant stakeholders.
  • Support with the implementation of program policies and procedures by tracking the progress of completion of policy and program requirements and maintaining document control.
  • Document an annual travel plan for the department and arrange travel.
  • Process invoices and ensure payments to service providers.
  • Liaise with internal and external stakeholders using various modes of communication on departmental requirements and initiatives.
  • Support the development of SHE Management System.
  • Act as the document controller for SHE management system documents.
  • Prepare and update SHE file templates and checklists for stores and warehouses.
  • Review contractor safety file compliance and coordinate SHE inductions.
  • Coordinate and provide administrative support to monthly and quarterly SHE committee meetings and distribute meeting minutes to stakeholders.
  • Coordinate SHE training and update training matrix regularly.
  • Schedule SHE audits and support implementation of the audit.
  • Monitor regulatory agency notifications on the various platforms.
  • Follow up of corrective and preventative action (CAPA) plans.
  • Support and participate in SHE awareness initiatives through documenting, formatting, and distributing material.
  • Update legal appointments and compliance registers.
  • Track reporting data and collate reports for SHE Manager monthly reporting.
  • Coordinate SHE department site visits and travel arrangements.
  • Maintain evidence of SHE operational controls for stores and warehouses.
  • Monitor and maintain inspections conducted by SHE Representatives, Firefighters, Evacuation Marshalls, and First Aiders.
  • Coordinate the management of SHE incidents and accident process.
  • Consolidate a database of COID incidents.
  • Coordinate incident root cause analyses and maintain records.
  • Follow up on incident investigation and reporting to relevant stakeholders. Keep a record of COID incidents frequencies.
  • Follow up on the implementation of corrective and preventative actions.
  • Provide an updated report on the status of COID cases at the ESG/SHE committee
  • Adhere to Dis-Chem Policies and Standard Operating Procedures.
  • Adhere to Health and Safety rules and regulations.

  • Demonstrate understanding of programme coordination and management
  • Effectively manages multiple assignments and priorities to ensure the fulfilment of projects, tasks, responsibilities, and goals
  • Excellent writing and communication skills - various levels and departments within the organisation
  • Effectively communicate with internal and external stakeholders to ensure that initiative, timeliness, and completeness of gathering information to resolve stakeholder requirements through the work order process
  • Proven interpersonal skills and be able to establish and maintain effective working relations with people in a multi-cultural, multi-ethnic environment with sensitivity and respect for diversity
  • Capacity to work under pressure, meet tight deadlines and produce high-quality documents at short notice
  • Ability to balance conflicting priorities issued by multiple bodies of power and influence. Willingness to work across multiple disciplines to drive the market towards more sustainable development
  • Computer skills - Microsoft Office: Word, Excel, PowerPoint and Outlook. Database Management
