Provide administrative support, project management, main board administration and personal assistance to the ESG Director & Company secretary, provides administrative and other support to the secretarial function and provides administrative and office management co-ordination and support to the ESG team.
Qualifications: Education:
Executive Secretary tertiary / paralegal course.
Experience:
3 + years' in an administrative environment/ paralegal role
Responsibilities: Personal Assistant Duties for ESG Director
Responsible for the day-to-day personal errands.
Provide diary management in order to ensure efficient use of available time to meet business needs.
Arranging meals and refreshments daily.
Co-ordinate local and international travel and accommodation arrangements when required.
Processing company credit card recons.
Ordering of stationery and purchasing of special occasion gifting when requested.
Booking training / seminars as required.
General PA duties (e.g. collection of deliveries, formatting documents).
ESG Duties - Board and Secretariat Administration
Assisting with board pack deliverables and uploads onto Diligent platform.
Responsible for the setting up and management of at least 4 x annual main board meetings (invites, catering and logistics) and 2 x conference calls (invites and logistics)
Assisting with Director induction programmes for new Board Directors.
Preparation and payment of NED invoices each quarter.
Assisting with and co-ordinating CIPC changes and submissions as necessary - signature of resolutions and CIPC documents, lodging on CIPC, annual returns, UBO submissions etc
Updating registrars, maintaining group statutory records and filing (both on the server and physical copies)
Assisting with KYC company secretariat requirements
General support of company secretariat function
General ESG Team Support and Administration.
Managing invoice payment process for the ESG team (invoices are approved, uploaded to Dax, processed and sent to finance for payment).
Managing requests for information from internal and external parties.
Support the ESG team for general enquires, ESG office area maintenance, guest management, boardroom management etc.
