Through our exhibitions, programs, and initiatives, we aim to inspire creativity, foster critical thinking, and contribute to the cultural landscape of Africa and the worldJob SummaryWe are seeking an experienced Event Coordinator to join our Institutional Advancement Department to assist with internal and external event coordination and provide administration, logistics and coordination support for pre, during and post event operations. The ideal candidate must have exceptional organizational and project management skills, excellent communication skills, and be flexible to work under pressure to ensure that all events are successfully executed.Roles and Responsibilities:Plan and coordinate various private and public tours and complete all administration thereof.Coordinate and oversee event setup, tear down and follow-up processes for programming and collaborative events.Collaborate and liaise with museum internal and external stakeholders to ensure that all parties' expectations are met, while leveraging relationships to further advance the organization's mission.Manage quotes, bookings and billing for events and ensure that all expenditure is within the stipulated budget.Provide all necessary information to the Events Manager for regular reporting and analysis.Ensure all events are executed successfully, and all aspects, including catering and entertainment, are properly taken care of.Create exclusive private tour packages.Support the Events Manager to establish and maintain relationships with vendors and venues. Required QualificationsMinimum 3 years of relevant experience in event coordination Diploma or Bachelor's Degree in Event Management, Marketing, or related field Exceptional organizational and project management skills Excellent communication, networking, and interpersonal skills Ability to work well under pressure to meet tight deadlines Proven track record of executing successful events. Familiarity with fundraising strategies.Person specification:This role requires an individual with knowledge in project management, ability to plan, organize, conceptualize, and direct a variety of projects simultaneously is essential. The individual must bring high standard of work, good work ethic, deadline driven, with good networking, oral and written communication, and engagement skills.
