The Events Coordinator will be responsible for the seamless planning, coordination and execution of high-impact events, supporting the full lifecycle of events that drive engagement, enhance brand presence and create memorable experiences for customers, stakeholders, and partners.
Key Performance Areas
Understand the events and entertainment objectives for the year and co-ordinate plans to assist the department in delivering objectives and remaining competitive
Have an up-to-date understanding of product offerings and provide recommendations to ensure the product offering remains relevant
Ensure that all events adhere to gambling regulations, ensuring compliance with any relevant laws, rules and industry standards
Coordinate & facilitate multiple events simultaneously, balancing priorities and meeting deadlines
Update and track the events calendar
Work closely with management to plan and execute a range of key events across the country
Collaborate and support various departments and teams to ensure that events run smoothly and meets the objectives outlined
Administer the entire event set-up process to ensure that all logistics, equipment and materials are in place
Co-ordinate sponsorships and brand awareness for all events activities
Support the development and tracking of budgets and spend; detailing budget plans, obtaining quotes and ensuring costs are kept within limits
Ensure all event budgets are signed off by the appropriate stakeholders before the event and shared with the accounts team
Communicate with suppliers / contractors with regards requirements for specific events / entertainment, leveraging relationships to optimise the event within the set budget
Process PO and invoices via IFS
Handle conflict and provide solutions regarding any event logistics and operational functions until resolution
Keep management updated with regards progress, and where necessary escalate unresolved issues
Maintain excellent working relations with all key stakeholders to build and retain integral working relations
Load supplier contracts; reviews of drafts and final contracts on relevant system
Provide aide-memoire and/or tickets to guest prior to events
Facilitate regular meetings and ongoing communication between various internal and external parties involved in the event, including vendors, agencies, and other stakeholders
Conduct site visits prior to each event to assess venues, understand logistics, and ensure that the location will meet the event's needs
Facilitate the distribution of tickets for various sport events and concerts
Draw reports on event performances and provide feedback via Event recon/ Report
Complete post-event analysis and reports that document the overall success of the event
Qualification
Marketing/Hospitality Diploma
Experience
3-5 years' experience in an administrative function within a marketing/events environment
Experience in events dealing with vendors & VIP clients
