2-year contractAn international organization with its head office in France seeks an experienced Executive Assistant to provide 2 Senior Executives.
You will handle high-level administrative tasks, ensure efficient office operations, and facilitate executive activities in a dynamic, fast-paced environment.Minimum Requirements:
4 or more years of experience in executive support and administrative management within an international organization.
Fluency in French.
Ability to professionally interact with high-level outside stakeholders.
Proactive and autonomous with excellent interpersonal and communication skills.
Strong organizational skills, with the ability to prioritize and handle multiple tasks.Duties and Responsibilities:
Time Management and Scheduling:
Manage and prioritize the Executive's calendar, including scheduling meetings, appointments, and travel arrangements.
Coordinate and organize internal and external meetings, ensuring all logistical requirements are met.
Handle time-sensitive and confidential information with discretion.Travel Coordination:
Arrange complex international and domestic travel itineraries, including flights, accommodations, transportation, and visas.
Prepare detailed travel agendas and provide support during travel as needed.Communication and Correspondence:
Serve as the primary point of contact for internal and external stakeholders.
Draft, review, and manage correspondence, reports, presentations, and other documents.
Handle incoming and outgoing communications, including emails and phone calls.Meeting and Event Planning:
Organize and facilitate meetings, conferences, and events, including preparing agendas, taking minutes, and following up on action items.
Manage logistics for visits from foreign dignitaries, clients, and partners, ensuring a professional and welcoming experience.Office Management:
Oversee office operations and coordinate with other administrative staff to support the executive team.
Manage budgets and track expenses related to executive activities.Stakeholder Interaction:
Professionally interact with high-level internal and external stakeholders.
Facilitate communication between the executive team and international offices.Crisis Management:
Act as a liaison during emergencies, coordinating communication and support as needed.
