Job Title: Executive Assistant & Property Operations Manager
Location: Remote (South Africa)
Salary: R28,000 per monthJob Overview: An exciting opportunity has arisen for a highly organised and proactive Executive Assistant & Property Operations Manager. This role is ideal for a detail-oriented professional with experience in short-term rental management, executive support, and operational coordination. The successful candidate will oversee property bookings, guest communications, maintenance coordination, and administrative support, ensuring smooth daily operations.Company Overview:

Our expertise lies in identifying and onboarding experienced professionals who align culturally with international markets, ensuring seamless integration and long-term success.Key Responsibilities:

  • Manage bookings across platforms such as Airbnb, Booking.com, and trade sites (e.g., Comfy Workers, Trade Stays).
  • Manually input bookings from platforms that do not sync with the channel manager (Smoobu).
  • Submit offers for booking requests on trade platforms.
  • Respond to guest queries and coordinate check-in/check-out processes.
  • Update check-in details when key safe codes change.
  • Handle guest issues, particularly on high check-in days (e.g., Fridays).
  • Ensure check-in instructions are clear and comprehensive to reduce guest queries.
  • Manage lost property inquiries and resolutions.
  • Liaise with cleaners, handymen, and suppliers for repairs and maintenance.
  • Research, purchase, and coordinate the delivery of essential property items (e.g., furniture, appliances).
  • Schedule routine property maintenance and compliance checks, such as boiler servicing and insurance renewals.
  • Maintain and update house manuals and property guides.
  • Document and improve operational processes using tools like Loom and Tango.
  • Implement efficient issue resolution procedures.
  • Assist with administrative tasks for other business ventures, including an education advisory business.
  • Handle invoicing and general operational administration.
  • Manage calendars, appointments, and personal administrative tasks as required.
  • Develop structured workflows to enhance productivity and efficiency.
Key Qualifications and Experience:Experience in an Executive Assistant or Property Operations role.Strong organisational and problem-solving skills.Familiarity with short-term rental platforms and property management operations.Excellent communication and customer service skills.Tech-savvy, with experience in booking platforms, CRM, and automation tools preferred.Proactive, resourceful, and able to work independently.
