JOB PURPOSE:
The role provides critical support to the Company and the Senior Management Team and undertakes administrative functions to ensure that the operational and office management are carried out effectively and efficiently and to ensure the effective operations of the business or an assigned project. Our ideal candidate has to have previous experience as an admin assistant or human resource officer, accounting officer or any other office jobs familiar with office management systems and technologies. The responsibilities of this role extend beyond that of a clerk or secretary, administration and encompasses other organisational functions as and when needed. Driver's license and own car with a minimum of three (3) years driving experience is essential.
Principal Responsibilities:
Day-to-day management of the depot or office as assigned
Working with the Head of Operations to ensure the team meets business targets
Coordinating and facilitating company projects in various divisions as requested
Maintaining financial records, HR, staff contracts, appraisal and training records
Supporting the Depot Manager or Operation Director to prepare information for presentations, media interviews etc
Updating the management on key related issues
Liaising across the company divisions to ensure delivery of products and services is effectively executed
Collection and delivery of items and products for specific projects as and when required
Arranging executive management meetings (including client meetings) and minuting where required
Providing direct support for the Senior Management team as required, particularly in meeting business target
Client management & Business development
Preparing proposals, tenders and other new business proposals
Undertaking work as and when required to meet the needs of the business
Supporting Heads of Department in coordinating and facilitating work-flow
Developing effective systems with the Director and Head of Operations to ensure the smooth operations of the assigned project
Proactively managing client project management systems
Taking a coordinating overview of all office systems to ensure their effective running and development
Business monitoring
Accountable for administration of the on and off-line systems (Depot Management System, Sage Pastel, Smartsheet etc)
Obtaining quotes, preparing draft client invoices; Credit control: monitoring unpaid invoices and initial client contact
Being a key point of contact with the company accounts and auditors to provide information required
Undertaking ad hoc analyses of billable and non-billable time records
Compile and maintain business reports timeously and accurately
Preparing weekly and monthly business reports and updates in conjunction with the Head of operations
