To work closely with and provide high level support to SIOP Africa President and Secretary-General by acting as the first point of contact in dealing with queries and managing the administration of their day-to-day operations
Location:
Charlotte Maxeke Johannesburg Academic Hospital, Parktown, Johannesburg
Key performance areas:
Organise and maintain the President's and Secretary-General's diaries
Coordinate and schedule relevant appointments and meetings
Screen telephone calls, enquiries or requests and handle them when appropriate
Prepare agendas for meetings
Assist in preparing documents, reports, and presentations
Deal with incoming emails - often corresponding on behalf of the President and S-G
Management and maintenance of database for bank mandates and Syndicate/Divisions registrations
Create Doodle polls, invite participants, liaise with participants' secretaries, as needed
Maintain relevant office systems such as electronic and manual filing systems (including preparation for donor pre-audits)
In the absence of the S-G, conduct relevant follow-ups, make decisions, and delegate work to others as per instruction
Booking, coordinate and confirm travel arrangements (flights, accommodation, transport and per diems)
Provide itinerary as required
Ensure that per diems are processed timeously for each trip planned
Process travel expense claims
Required minimum education and training:
Relevant Degree or Diploma
Required minimum work experience:
Minimum of 1 year Secretarial/Personal Assistant experience would be an added advantage
Desirable additional education, work experience and personal abilities:
Own reliable transport would be an advantage
Able to use transcription software's
Exceptional organizational and administrative skills with working knowledge of Microsoft Office
Computer Literate
Be able to maintain confidentiality, tact and professionalism at all times
Must be assertive, confident and adaptable
Must be self-motivated
Must be able to pay attention to detail
Must be contactable after hours for any unplanned emergencies or queries
Work hours may be flexible as some of the work is global
