"Executive Support Specialist (JB4344)Fully remote for applicants currently living in South AfricaR15 000 - 18 000 CTC per month - half-day morningsIndependent ContractorBusiness process outsourcing service provider with clients based globally, seeks an adept and dynamic individual to join a small team as an Executive Support Specialist.This role is pivotal in ensuring seamless operations for the Director and team, requiring exceptional organizational skills.Minimum Requirements:5 or more years of experience in a similar role, ideally within a corporate or legal environment.Legal or company secretarial background (strongly preferred).Knowledge of, and demonstrable experience in providing administrative support for, financial audit processes (desirable).Proficiency in Microsoft Office Suite and familiarity with cloud collaboration tools, e.g., iCloud, Dropbox, Slack, Zoom, Teams.Familiarity with Apple OS would be advantageous.Suitable home office setup with backup power supply.Exceptional attention to detail and accuracy in all tasks performed.Proficiency in French is desirable, considering client operations in French-speaking regions.Duties and Responsibilities:Diary Management: Effectively manage complex schedules, appointments and meetings for the team, ensuring optimal time allocation and coordination.Email Management: Handle email correspondence efficiently, prioritizing and responding to messages as necessary, maintaining a high level of professionalism and confidentiality.Client Support: Provide comprehensive support to the team in all aspects of client engagement, including liaison, communication, and documentation management.Secretarial Duties: Execute secretarial tasks with precision and attention to detail, maintaining confidentiality and professionalism at all times.Company Secretarial Support: Assist in company secretarial tasks related to listed entities, including liaison with auditors, exchange advisors, and legal documentation management.Legal Support: Review and update legal documents, contracts, and agreements as required.Administrative Systems: Establish and maintain systems to track deadlines, manage team follow-ups, and ensure efficient workflow management.Investor Relations: Support in investor relations activities, including drafting and proofreading press releases and ensuring effective communication with stakeholders.Cloud Collaboration and File Management: Implement, oversee and optimize cloud collaboration tools and file storage systems, ensuring streamlined communication and data management.Language Proficiency: Proficiency in French is desirable, with basic business French skills preferred, considering client operations in French-speaking regions.Please do not apply using Scanned CVs, no supporting documentation is required at this point, this will be requested later.IMPORTANT: We specialize in specific niche fields.
