Job Description

Are you a detail-oriented professional with a passion for ensuring smooth facility operations? Stowe is seeking a dedicated Facilities Administrator to join our team and oversee administrative and operational duties across the JHB, Bloem, and KZN regions.

Job Purpose:

As a Facilities Administrator, you will play a crucial role in daily facilities inspection, maintenance coordination, resource allocation, vendor administration, and compliance with health and safety regulations.

Key Responsibilities:



Resource Allocation, Provincial Coordination (40%):



Allocate resources for optimal maintenance. Administer the ordering and issuing of tags for office security. Monthly consumable orders and counting for assigned regions. Participate in asset register compilation and updates.

Vendor Administration and Budget Administration (35%):



Coordinate external maintenance vendor visits. Obtain quotes and compile documentation for vetting. Create Purchase Requisitions (PRs) and manage budget data. Act as a liaison with vendors, collating data for procurement processes.

Compliance and Safety Emergency Response (10%):



Ensure personal compliance with health and safety regulations. Report non-adherence to relevant standards. Contribute to safety incident investigations and reporting. Monitor office maintenance, report defects, and complete inspections.

Travel and Reporting (10%):



Administer flights, accommodation, car hire, petty cash, and credit card top-ups. Complete recon reports for keys, tags, water, stationery, and stock requisition.

Continuous Improvement (5%):



Contribute ideas for efficiency improvements in facility administration. Assist in staging and rearranging offices for an improved work environment.

Minimum Requirements:



Certificate or relevant Facilities Administration/Management. 2-3 years of experience in facilities administration or a related field. Proven experience in facilities administration. Knowledge of building systems, codes, and regulations. Strong organizational and problem-solving skills. Excellent communication and interpersonal abilities.
