We are seeking an organised, proactive Fleet Coordinator to manage the daily operations and maintenance of our rental vehicle fleet.

As the Fleet Coordinator for Future Motor Lease, you will be responsible for managing the overall operation of our rental fleet, ensuring that vehicles are available, maintained, and ready for customer use. You will coordinate vehicle scheduling, maintenance, repairs, and fleet utilisation, while ensuring excellent customer service and efficient operations.

Key Responsibilities:

Fleet Management

: Monitor and manage the availability, usage, and turnover of rental vehicles. Ensure a seamless process for vehicle check-ins and check-outs.

Maintenance & Repairs

: Schedule regular maintenance, inspections, and any necessary repairs for rental vehicles to ensure they are safe and ready for customer use. Work with service providers and vendors to manage repair and service schedules.

Customer Satisfaction

: Ensure that vehicles are consistently clean, well-maintained, and meet company standards for quality. Address any issues related to vehicle availability or quality, providing quick resolutions to customer inquiries.

Compliance & Documentation

: Ensure that all vehicles are properly registered, insured, and meet local regulatory requirements. Maintain accurate records of inspections, repairs, and maintenance history for each vehicle.

Inventory Control

: Keep track of vehicle parts, supplies, and equipment, and ensure proper inventory management for the fleet.

Cost Control & Budgeting

: Monitor fuel consumption, maintenance expenses, and repair costs. Identify areas to reduce operational costs and improve fleet efficiency.

Reporting

: Provide regular reports on fleet utilisation, vehicle condition, rental trends, and any issues that may arise. Analyse fleet performance and suggest improvements.

Driver Coordination

: Where applicable, manage and coordinate any drivers needed for vehicle deliveries or pick-ups.

Shared Emergency On Call duties

: Taking turns with fleet coordinator team members on being on call for emergencies and coordinating accidents, breakdowns or towing's.

Qualifications:

Minimum of 5 years of proven experience in fleet coordination, vehicle management, or car rental operations. Strong organisational skills with attention to detail. Excellent communication skills, both with internal teams, suppliers and customers. Knowledge of vehicle maintenance, fleet management software, and car rental operations. Ability to troubleshoot and resolve issues quickly and efficiently. Familiarity with fleet tracking systems and rental software platforms. Ability to manage multiple priorities and work effectively in a fast-paced environment. Valid driver's license and clean driving record. Qualification in transport management, supply chain management or similar would be advantageous.

Preferred:

Experience with fleet management software Knowledge of car rental industry best practices and customer service excellence. Experience in budgeting, cost control, and vehicle lifecycle management.
