We partner with select adviser groups by way of an inclusive, advice-led investment model that allows our partners to leverage off the extensive resources of the Sanlam group and a well-researched, carefully selected investment universe.What will you do?Key responsibilities:Diary Management

  • Graviton EXCO team.
  • Arranging and coordinating meetings.
  • Graviton team IC Quarterly Meetings coordination.
  • Graviton Bi-Annual Business Consulting Meetings coordination.
Travel Arrangements
  • Travel arrangements (domestic and international).
  • Quarterly travel IC travel arrangements.
Client and Board Duties
  • Positioning Assistance: Correspondence, reports, tables and presentations.
  • Arrange meetings, video and telephone conferences.
  • Assist with preparing agenda, board, and company documents for internal and external stakeholders. (Resolutions, Director Resignations and Nominations and AFS approval).
  • Assist CEO and CFO with Director Compliance Requirements (FICA & Compliance Declarations).
  • Custodian of Graviton Company and Compliance Documentation.
Project Management
  • Internal Communication Strategy.
  • Feedback Loop built with all of EXCO and external stakeholders (Advisors and Partners), with mandate from CEO.
  • Manage Priority List.
  • Manage annual CPD Register and submission for CEO and EXCO (Internal Compliance and FPI).
  • Laise with Legal Department regarding the drafting of required Legal Agreements.
  • Manage Graviton IC Meetings Audit Requirements - completing and submission of Audit Requirements (Participation Reports and Recordings).
General
  • Credit Card reconciliation.
  • Cell phone reconciliation.
  • Processing payments / claims, reimbursements.
  • Onboarding (New Starters) and Termination process as required.
  • Event coordination: client and team events coordination as required.
  • Liasing and assisting Graviton Advisors and Partners.
  • Back up for colleagues as required.
  • Telephone communication internally and externally.
  • Graviton CPD Events: Submit and manage the FPI Approval process for IC Meetings, Webinars, and other applicable sessions - completion and compiling of Application Form, supporting documentation, participation reports and liaising with Marking regarding the distribution of Certificates.
  • Managing team Leave requests and schedules.
What will make you successful in this role?Minimum requirements
  • Matric and an accredited secretarial qualification is essential.
  • Bachelor's degree is advantageous, but not essential.
  • Robust work tenure: 5 to 8 years of experience.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat.
