Group Facilities Manager - SandtonFull job descriptionThe Group Facilities Manager is responsible for managing the physical workspaces across CEF SOC and focuses on ensuring that facilities operate efficiently and aligns with regulatory and corporate standards.REQUIRED MINIMUM QUALIFICATIONS AND EXPERIENCEMinimum 9 years in facilities management/ administration function of which 3 -5 years must be at Managerial experienceMatric, Bachelors degree and/ or equivalent qualification in Facilities Management, Property studies, Construction, Architecture, Business, Engineering at (NQF 7)Honourss Degree (NQF Level 8) in the relevant field as an added advantageDESIRED ADDITIONAL SKILLS/ COMPETENCIESAdvanced knowledge of building systems (HVAC, electrical, plumbing, generators, water backup systems)Familiarity of Building management software or facilities management toolsAdvance knowledge on regulations associated with property management, commercial leases, zoning and constructionNegotiation skillsProject Management SkillsBudget planning and development skillsReporting skillsPresenting skillsTactical Planning skillsPeople Management Skills (Performance management, delegation, corrective action, coaching)Policy and Procedure developmentKEY PERFORMANCE INDICATORSFacilities ManagementOversee all maintenance and upkeep activities related to the buildingOversee the asset management / inventory by monitoring stock levels and ordering required suppliesManage booking of the meeting rooms and ensure they are kept in the appropriate condition and that all supplies required are kept in the roomsOversee the cleaning staff and ensure the building is cleaned to the appropriate requirementResponsible for the effective management of Utilities, HVAC system and continuous provision of utilities during outagesOversee monthly rental payments on behalf of CEF for the facilities, telecommunications and utilities, and ensure all other related expenses are paid on timeOversee property leases, including renewals, negotiations and rent reviewsManage real estate portfolio of CEF SOC and assist with acquiring or divesting real estate based on CEFs investment strategyOversee the pool vehicle fleet by ensuring regular maintenance and timeous licensingOversee CEF House reception and ensure that the service meets the business requirementsManage the mailroom activities at CEF HouseArrange regular cleaning and maintenance of canteen equipmentResponsible for the effective responsible for company assets according to CEF policies and proceduresWork closely with internal stakeholders and contractors to coordinate office moves, expansions and office setupsDepartment ManagementTranslate strategic objectives into operational goals for the team and develop performance metrics accordingCommunicate performance goals and priorities to team members and monitor the execution accordinglyResponsible for people management (administration, Performance, Development)Coach and guide employees and ensure that they are onboarded on the CEFs policies and proceduresResponsible for recruitment and selection of team membersResponsible for the development of departmental budget based on analysing historic needs forecasting future needs and ensure OPEX and CAPEX needs are catered and planned forPresent and submit budget for approvalManage approved budget in accordance with company policiesIdentify opportunities to streamline spend across the group and optimizing the facilities function overallProvide monthly departmental updates on department focus areas and achievementsDraft and submit scope of work documents to procurement, act as panel member to select vendors and manage approved vendors to ensure effective delivery of agreed service or goodsProject ManagementLead facilities-related projects, such as office renovations, expansions, or relocations for CEF SOCCoordinate with architects, designers, and construction teams for office build-outs.Monitor project timelines, budgets, and resource allocation.Sustainability Facilities ManagementImplement and oversee sustainability initiatives such as energy efficiency programs, waste reduction and green building practicesMonitor environmental impact and promote eco-friendly practices across all facilitiesLead space planning and office layout design to maximise productivity and accommodate workforce needsOptimise space utilisation and ensure compliance with ergonomic standardsDevelop and implement emergency preparedness plans, including fire safety protocols, evacuation procedures, and crisis management.Health, Safety and ComplianceEnsure all facilities comply with local health, safety, and building regulations.Conduct regular safety audits and inspections.Closing Date: 19 September 2024NOTE: The successful candidate/s for the advertised position/s will be required to undergo personnel suitability checks, which includes, criminal records, citizenship, financial checks, qualifications and previous employment (Reference checks).
