Job Description


To perform the administrative and clerical work activities required for the delivery of HR transactions, enabling the availability of accurate information as well as improved internal client satisfaction and compliance. Deliver on agreed performance targets according to set procedures and service level agreements. Identify and apply known solutions to administrative challenges and escalate unresolved issues.Position OverviewThe successful incumbent will report to the HRBP and will be responsible for providing general administrative and office support to the Human Capital Department in order to facilitate operational effectiveness and efficiency.
Specific Role ResponsibilitiesAdministration:

  • Compiling of new engagement / on-boarding packs and ensure that supervision agreements are included for Sales Agents
  • Handing out and explaining the engagement pack to new employees (including general policies and procedures, company benefits, welcome photo to be taken and saved in HR Repository etc.)
  • Responsible for the execution of on-boarding new hires
  • Responsible for off-boarding all exits, including sign-off documentation
  • Reporting to all stakeholders on all employee movement (JML) on a weekly basis
  • Archiving of old employee packs (annual basis)
  • Maintain employee records
  • Assisting with leave queries received from employees and payroll
  • Assisting new staff members with obtaining bio-metrics finger print access from Facilities Department
  • Distribution of business communications as and when requested
  • Updating Company organogram
  • Assist with absconsion process / documentation (absconsion diary) when required
  • Assist with scheduling disciplinary hearings as and when required
  • Submitting of all IOD claims / online submission (RMA)
  • Participate in HR-related projects and initiatives as needed
  • Consolidate and compile various information required for reporting purposes
  • Update RE tracker and assist with consultations (including minutes of consultations)
  • Ad-hoc duties
Payroll:
  • Preparing monthly payroll input schedule for each respective Business Unit, as per deadlines received from Head Office (engagements, terminations, deductions etc.)
  • Capturing of warning letters on a monthly basis (IR Tracker)
  • Sending out of online exit interview links
  • Create ESS access profiles via Sage platform
  • Assist with general payroll, medical aid and retirement fund queries and escalate unresolved matters
Recruitment:
  • Assist with end-to-end recruitment efforts (sourcing, selection, interviewing etc.) for unskilled, semi-skilled and junior management position or as directed
  • Ensure best candidate experience by providing a positive and professional experience for candidates throughout the recruitment process
  • Ensure that staff requisition form(s) and offer letters are signed off by the relevant Director/FD
  • Scheduling of assessments (technical, skills or psychometric assessments)
  • Posting of vacancies on various platforms (internal / external)
  • Ensure that all pre-employment checks are complete (MIE), including DOFA and RE verification checks
  • Liaising with recruitment agencies and candidates
  • Ensure that recruitment tracker / dashboard is updated on a regular basis (master data)
  • Sending out of 3-month on-boarding survey
Qualifications and Experience
  • Matric (Grade 12)
  • Relevant tertiary qualification in Human Resources (National Diploma or a Bachelors' degree)
  • Minimum 2 years experience in HR Administration
  • Minimum 2 years experience in Payroll Administration
  • Solid understanding of payroll processes
  • SAGE300 system experience would be an advantage
  • Must be MS Office proficient, advanced Excel will be an advantage
  • Knowledge of South African labour laws and regulations
  • Knowledge of HR best practices
