Our client's HR team is looking for a highly organised, detail-orientated HR and Payroll Professional who is able to work independently and handle confidential information with integrity.
The ideal candidate will have previous experience in a fast-paced high-performance environment and have mastered the art of multitasking and prioritising effectively.HR and Payroll Consultant - Hybrid/RemoteThe Human Resources and Payroll Consultant will be responsible for delivering end-to-end HR support and payroll administration to ensure efficient HR operations and accurate payroll processing. This role includes maintaining employee records, coordinating payroll functions, assisting with recruitment, onboarding and exit management. The role will also be responsible for ensuring compliance with labour regulations and contributing to company-wide HR initiatives.Experience and capability requirements.
1. Minimum Bachelorsxe2x80x99 degree in Human Resources, Psychology, Finance or related field.
2. At least 3 - 5 yearsxe2x80x99 experience in a Payroll processing capacity, specifically on Sage 300 People (non-negotiable).
3. Exceptional understanding of South African Tax laws, preferably with relevant certification.
4. Knowledge of employee benefits administration and statutory compliance.
5. Previous experience processing Kenyan and Mauritius based Payrolls would be advantageous.
6. Proficiency in Microsoft Office (Excel, Word, Outlook) and HRIS systems.Duties include but are not limited to:Payroll Administration:

  • Prepare and manage payroll inputs and records on a monthly basis to ensure timely and accurate processing of Compensation and Benefits for all OUR CLIENT South Africa, East Africa and Mauritius employees.
  • Manage the timeous processing and submission of Payroll for review and approval in partnership with the Payroll Manager, ensuring accuracy and minimal corrections required during review.
  • Timeous submission of Payroll projections to Treasury for provision of funds and the subsequent submission of the processed Payroll to finance for bank release.
  • Monitor people movements and updates payroll inputs to ensure Payroll costs and divisional splits are processed accurately for new hires, exits, transfers and any other changes to the Payroll.
  • Monitor claims (travel, sales incentives etc) and leave applications to ensure accurate recording and compliance with the Travel, Sales Incentive and Leave policies.
  • Administration and reconciliation of Employee Benefits (e.g. Medical Aid, Group Life, Pension Fund and EAP) to ensure accurate billing, compliance with scheme regulations and consistent coverage for employees.
  • Resolve payroll discrepancies and respond to payroll-related enquiries from employees, ensuring accuracy and timeous resolution.
  • Perform monthly audit of leave balances across all leave types to ensure compliance with the Leave policies, ensuring flagging of non-compliance as well as high leave balances to manage the leave liability.
Payroll Compliance
  • Stay up to date with legislative updates to ensure compliance with all statutory payroll requirements and tax regulations.
  • Submission of EMP201xe2x80x99s and related payment instructions to SARS, ensuring adequate time for release of payment before deadline to keep OUR CLIENTxe2x80x99s tax status compliant at all times.
  • Assist with the mid-year and end of year reconciliation to ensure the EMP501 is submitted before the deadline and IRP5xe2x80x99s are generated and stored centrally for easy access to address queries.
  • Prepare the COID Payroll reports and projects for submission of Return of Earnings, ensuring submission before the deadline in order to maintain the Letter of Good Standing.
HR Administration:
  • Maintain accurate and up-to-date employee records which includes personal information, CVxe2x80x99s and qualifications, Job Profiles, Employment Contracts, and benefits.
  • Assist in the recruitment process by crafting job adverts, posting across different platforms, screening applicants and coordinating interviews.
  • Assist with employee pre- and onboarding as well as induction, ensuring that new joiners receive the xe2x80x9cunreasonable hospitalityxe2x80x9d that is engrained into OUR CLIENT culture.
  • Provide administrative support to the Head of HR Operations and the HR Business Partners in all Talent Management processes which will include but is not limited to performance management processes, employee engagement and continuous improvement initiatives, employee relations matters, HR events and training.
  • Respond to employee queries timeously, ensuring employees are aware of HR policies and procedures to drive compliance.
  • Manage the exit process by completing the exit checklist, conducting exit interviews to gather feedback, and handling all related administrative tasks in partnership Technology by Design to ensure a smooth and professional offboarding for employees.
  • Assist the Executive Head of HR Operations in tracking all HR-related expenses and service providers, ensuring invoices received are vetted against work performed before loading onto BPM for processing.
  • Support the Learning & Development Specialist in budgeting and forecasting for training programs and other employee development initiatives, ensuring alignment with our High-Hard Financial and Transformation goals.
HR Reporting:
  • Provide reports to the business as and when required, ensuring inputs to regular reports (e.g. Weekly Birthday lists; Monthly Headcount, B-BBEE Management Control, Terminations, New Joiners, People Movement Tracker Reports; ESG Quarterly Reports etc) are received timeously to allow sufficient time for preparation and consolidation.
  • Assist in preparing and submitting all required statutory reports, including but not limited to Employment Equity (EE) Reporting, Workplace Skills Plan (WSP), and Annual Training Report (ATR).
  • Track, prepare and present HR reports and metrics to the Head of HR Operations for analysis to support data-driven decision making in the business.
  • Develop, organize, and maintain the HR database (Sharepoint and Activation Hub) to ensure data accuracy, while maintaining confidentiality.
  • Assist in the development and implementation of HR policies and procedures, ensuring version control is maintained and that all published HR information is accurate, up-to-date, and easily accessible to employees.
  • Maintain and update all relevant Workplace Skills information to ensure compliance and accuracy.
  • Perform Monthly Employment Equity (EE) maintenance on Sage to ensure records up to date for ease in pulling reports monthly to the B-BBEE Consultant and for the annual EE report submission to the Department of Labour.
