This includes anticipation and good quality of communication and support to build and strengthen the HR department.General:

  • Performs all duties and responsibilities in a timely and efficient manner in accordance with policies and producers to achieve the overall objectives of this position.
  • Shows active interest in supporting and driving positive change in L&D, EM and HR Department.
  • Ensure assigned tasks are achieved with the desired outcome in a timely fashion.
  • Shares knowledge and skills with other colleagues and communicates effectively.
  • Continuously act as a communication agent ensuring employees have all information they require in a timely and efficient manner.
  • Timeous response to email and/or all communications within at least 24 hours of receipt thereof.
  • Undertake duties as requested from HR department including HRD as may be required from time to time.
Key roles and responsibilities:
  • Maintenance of eStrive platform, including loading and orientation of new starter and communication of nominations.
  • Issuing of correspondence for Birthdays and Milestones in a timely manner.
  • Support EM Manager with preparation of employee events, such as employee of the month, monthly Joy Day, etc.
  • Social and Communities Champion supporting EM Manager.
  • Screen employee queries and direct employees to the respective Human Resources team member.
  • Manage internal communication mediums including notice boards, #openconversations, etc. under the guidance of the of EM and L&D Managers. Upkeep of Heart of House notice boards.
  • Booking of AV, creating Function Sheets for HR/L&D/EM Functions, execution of operation thereof
  • Assist EM Manager with quality assurance of colleague restaurant - constantly seeking new and improved ways to ensure employees are happy and content with the offerings.
  • Assist in conducting and delivery of programs such as Kerzner Learning Modules including Joy training which may involve demonstrating, conducting resort areas show around for new colleagues, leading of group discussions and other learning activities.
  • Preparation of training materials and ensure enough stock thereof.
  • Organize, upkeep and maintain the training room schedules, as well as booking of alternative venues as and when needed, including of set -up and breakdown.
  • Provide administrative support to HRM and the department, for Human Resources related correspondence, including memorandums, forms, letters, and report as required.
  • Processing of EM/ L&D related orders on iScala. Maintain copies of requisitions and purchasing orders on iScala and seeing requisitions to the end until payment is processed and POP shared with relevant stakeholders ahead of services being rendered.
  • Ensure procuring of services are in line with the Resort Procurement procedures.
  • Keep abreast with employee welfare concerns and action or escalate as required.
  • Assist with the transport arrangement for employees at OOCT in response to ad hoc requests.
  • Oversee successful roll out of Uniform Project which includes ordering and distribution of uniform and accurate record keeping of all uniforms purchased.
  • Accurate and timeous updating of the Daily One iro of HR monthly calendar.
  • Maintenance of Whatsapp communication groups.
  • Prepares all L&D collateral in line with the L&M monthly calendar this includes attendance registers and training material as required.
  • Assist in conducting and delivering of learning courses (such as orientation, Kerzner Learning Modules) which may involve demonstrating, conducting physical resort areas show around, leading group discussion and other learning activities.
  • Assist in conducting and delivering of skills training courses in departments which may involve demonstrating, leading group discussion and other learning activities.
  • Liaison with departmental trainers to ensure receipt of monthly training plan and registers.
  • Reproduces or photocopies all training manuals based on the need of the organization and ensure sufficient stock thereof.
  • Acts as Student Liaison Officer, consults, assists, and supports in all related activities of internships, apprenticeships programs.
  • Assist and supports all departments and/or sections in assuring the success in their preparation and presentation of their learning programs as may be required from time to time.
  • Organizes, controls and maintains the schedule of the Training Rooms, as well as booking of alternative venues as and when needed.
  • Set-up and breakdown of training rooms after training took place and ensuring daily that the training rooms are clean by contacting relevant departments to assist (eg. Housekeeping and In Room Dining).
  • Creates, maintains and printing of certificates for Lobster Ink and related programs as may be required.
  • Capture weekly training registers submitted by Departmental Trainers and any other trainings (internal/external) that took place in the correct format for SuccessFactors, CATHSSETA, Annual Training Plan (ATR), BBBEE and Skills Development submissions.
  • Assists the L&D Manager in research for suppliers, service providers, courses, and external contractors as and when requested.
  • Monitoring and ordering bi-weekly training and training room supplies as required
  • Assists colleagues to log in and navigate the various HR Platforms such as iKonnect, Successfactors, CAP, eStrive for the various activations such as completion of Compliance Training, CES, Performance Appraisals, etc.
