Job Summary:



We are seeking a detail-oriented and proactive

HR & Office Administrator

to support our HR processes, office operations, and internal communications. The ideal candidate will have strong organisational skills, excellent communication abilities, and the ability to handle multiple administrative tasks efficiently.




Key Responsibilities:




HR & Payroll Administration:




Distribute payslips, P45s, and P60s to employees. Advertise job vacancies on Indeed, manage applications, and track responses. Conduct UKVI verification, including passport checks, UKVI codes, WhatsApp identity verification, and saving records. Draft employment contracts for managerial review and issuance to new employees. Ensure new employees complete the New Starter Checklist and Onboarding Form. Transfer new hire details to the Payroll Sheet and request managerial validation. Create WhatsApp groups for new employees to support onboarding.

Leave & Performance Management:




Forward holiday requests to the Scheduler for approval and update the necessary records once approved. Maintain Individual Holiday Log Sheets, Google Calendar, and notify relevant teams of schedule changes. Track and collect performance data (attendance, sick leave, unplanned leave, timekeeping, complaints) and submit quarterly reports to the Manager.

Office Administration & Communication:




Record meeting minutes and distribute them to relevant staff. Handle internal communications, memos, and company updates. Manage office correspondence, including emails, phone calls, and letters. Maintain office records, files, and documents in an organised manner. Schedule meetings, appointments, and travel arrangements. Oversee IT support and provide basic troubleshooting. Provide administrative support to senior management.

Team Coordination & Compliance:




Organise team activities, events, and office meetings. Assist with health and safety compliance, ensuring documentation and procedures are followed.

Marketing & Brand Promotion:




Create and manage social media posts to enhance brand visibility and company services.

Additional Duties:




Support directors and managers with various projects as required.



Skills and Qualifications:




Strong communication and interpersonal skills. Excellent organisational and time-management abilities. Proficiency in Microsoft Office, Google Sheets, and HR systems (training provided if needed). Ability to handle sensitive information with confidentiality. Previous experience in HR, administration, or a related field is advantageous.

Requirements:




Must be based in Cape Town Candidates must have access to fibre internet with a minimum line speed of 50 Mbps and a quiet workspace at home. Additionally, availability for a trial day to assess skills is required

Salary:

R18,000 - R22,000 per month DOE


Working Hours:



Monday to Friday (supporting UK business hours)


During UK Winter (South Africa is 2 hours ahead of the UK)
