Job Purpose:Responsible for managing all aspects of payroll processing and ensuring compliance with labor laws and company policies. This role also involves supporting various HR functions, including employee onboarding, record keeping, and benefits administration.Job Specification & Key ResponsibilitiesPayroll Processing:xc2xa7 Handle payroll functions accurately and efficiently, ensuring timely processing and adherence to regulatory requirements.xc2xa7 Prepare, capture and process the monthly payroll input (new engagements, terminations, loans, increases, Subsistence allowance, incentives, overtime, travel allowance, garnishee orders, traffic fines, Fleet spend, standby allowance, etc) within the agreed timelines and in accordance with the policies.xc2xa7 Communicating the monthly deadline to all relevant stakeholders.xc2xa7 Managing leave system (Reports of sick, annual, study, unpaid leave, and maternity leave on Sage Cloud Payroll Professional ).xc2xa7 Checking overtime hours (accuracy and ensuring that they are updated correctly on the system)xc2xa7 Checking the fixed-term contract renewal dates and communicating the dates to Line Managers & Team Leaders for renewal & to update the status of the contract.xc2xa7 Processing salary increases, and calculation of back pay when needed.xc2xa7 Develop an in-depth understanding of the Payroll Database to be able to create Ad-Hoc reports on demand as well as standard monthly reports.xc2xa7 Interaction with employees when attending to all monthly salary queries after payroll for a better explanation of what is on their payslips.xc2xa7 Preparing Mock payslips for New Eployeesxc2xa7 Preparation of employee termination (End of Contract, resignation, dismissal, and death) on termination payouts.xc2xa7 Print payslips on Sage when requested by employees.xc2xa7 Capture and verify all expense claims against the policy and report non-compliance to the Line Managers.xc2xa7 Pull the Variance report and add commentary on all changes that were captured in the current payroll monthlyxc2xa7 Send out active employee register HR Manager to confirm all active employees before the payroll release salaries.xc2xa7 Send out leave report to all line managersxc2xa7 SSS access is granted and updated for all employees when required.Employee Records:xc2xa7 Maintain and update employee records in Sharepoint, HR System and physical files.xc2xa7 Ensure confidentiality and security of employee information.Recruitment & HR Support:xc2xa7 Advertise, Screen & Interview Candidatesxc2xa7 Conduct Reference, Qualification & Qualification Checksxc2xa7 Draft Letter of appointments/Contractsxc2xa7 Coordinate new employee onboarding, including orientation and training.xc2xa7 Prepare and process new hire paperwork and ensure proper documentation.xc2xa7 Support the HR team with employee relations, performance management, and disciplinary actions.xc2xa7 Coordinate employee training and development programs.xc2xa7 Draft and Issue UIF, Confirmation of employment and Certificate of Servicexc2xa7 Updating the reporting line in accordance with the companys organogram.xc2xa7Undertake other tasks and responsibilities appropriate to the level of this post as required by the HR ManagerRequired Qualificationsxc2xa7 Matric (Grade 12)xc2xa7 National Diploma in Human ResourcesRequired Experiencexc2xa7 3-5 Years Proven experience as a Payroll Officer, HR Officer, or similar role.xc2xa7 2-3 Years Experience in HR Administration & General administrativexc2xa72-3 Years Experience with an HR/Payroll system (Such as VIP & Sage Payroll)
