We are seeking a proactive, detail-oriented, and organized Internal Sales Administrator to join our dynamic sales team.

Job Summary:



The Internal Sales Administrator will support the sales team by managing customer inquiries, generating quotations and managing briefs, processing orders, maintaining product information, and providing administrative support to ensure the smooth operation of the sales function. This position requires a highly organized and motivated individual with excellent communication and administrative skills, who is ready to contribute to the overall success of the sales department.

Key Responsibilities:



Sales Support:

Provide administrative support to the sales team to ensure the efficient operation of the department. Respond to customer inquiries, offering information about products, pricing, and delivery options. Assist with generating quotes, preparing proposals, and managing customer accounts. Process and manage sales orders from receipt to completion, ensuring accuracy and timely delivery.

Order Processing and Coordination:

Liaise with suppliers and production teams to ensure timely delivery of promotional clothing and gifts. Maintain and update order tracking, ensuring customers are informed of order status. Assist with stock management, keeping track of inventory levels and updating product information as needed.

Customer Relationship Management:

Build and maintain positive relationships with clients and suppliers to ensure customer satisfaction. Handle customer queries and complaints professionally and efficiently. Support the sales team in achieving sales targets by providing necessary information and administrative support.

Reporting and Documentation:

Maintain accurate records of customer orders, sales leads, and other relevant information in the CRM system. Prepare and maintain reports on sales performance, including sales trends, inventory levels, and order status. Assist in preparing sales presentations and other marketing materials when needed.

Sales Team Collaboration:

Work closely with the sales team to ensure all customer needs are met and orders are processed on time. Provide support in the preparation of sales contracts and agreements. Assist with administrative tasks related to promotional campaigns, including product samples, custom designs, and client presentations.

Data Management:

Input and maintain accurate data in the company's CRM system and databases. Ensure product catalogs are up to date, including pricing, descriptions, and availability.

General Administrative Support:

Handle general office duties such as filing, answering phones, and responding to emails. Organize and maintain documentation related to customer orders, invoices, and contracts.

Key Skills & Qualifications:



Experience

: Proven experience in a sales administration, customer service, or similar role within a promotional, retail, or merchandise industry.

Knowledge

: Basic knowledge of promotional clothing and gifting products is preferred, but not essential.

Organizational Skills

: Excellent organizational skills with the ability to prioritize tasks and meet deadlines.

Communication Skills

: Strong written and verbal communication skills, with the ability to interact with clients, suppliers, and internal teams.

IT Skills

: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM systems.

Attention to Detail

: High level of accuracy and attention to detail.

Customer Focus

: Ability to understand customer needs and provide exceptional service.

Problem-Solving

: Ability to resolve issues efficiently and provide solutions in a fast-paced environment.

Education:



A minimum of a high school diploma is required; a degree in business, marketing, or a related field is a plus.

Working Conditions:



Full-time position. Office-based with occasional remote work flexibility. Regular business hours 7:30 - 16:30, Monday to Friday.
Job Type: Full-time

Pay: R8000,00 - R12000,00 per month
