Our client is small but well known Company that offers their mobile bar services to major corporates throughout South Africa and they are searching for a new member of their team, an Events Assistant.

Reporting to the Events Manager, the incumbent will be responsible to ensure the smooth and efficient running of the department in the absence of the Events Manager. Ensuring that the Events Department achieves the strategic objectives of the unit with specific regard to achieving profitability, maximizing customer satisfaction and developing a team culture.

Ability to maintain excellent standards and service levels, customer service focused strategic thinking and implementation ability.

Duties & Responsibilities

• Assisting with client quotes and client invoice.
• Answering calls
• Compilation of Event files, including / not limited to: completing all paperwork, ordering event stock, arranging staff, selecting equipment etc.
• Supplier / product research.
• Attend client meetings where required.
• Assist with all event functions, including but not limited to:
• Research
• Briefing & sourcing of suppliers
• Obtaining quotes from suppliers
• Confirmation of quotes
• Supplier briefing & confirmation documents
• Assisting with the setup, coordination & derig of events.
• Management of event staff - arranging staff / confirm events with them / ensure on time / keep in contact with them
• Recon of event files
• Ordering stock when required / minimum stock and event specific.
• Receiving / checking orders from suppliers
• Ensure effective completion of events according to the company standards
• Assist with general office duties as assigned by manager.
• Ensure that protocol and guidelines are followed and put into place as set out by management
• Ensure constant feedback to manger on all elements - events / office / staff / repairs

Desired Experience & Qualification

• Driver's License and own vehicle.
• Matric
• Minimum 2-3 years experience within a similar role, Events background (Essential)
• Ability to handle a highly pressurized environment
