Recruiting a Junior Project Manager:You will be responsible for contributing towards the achievement of the companys strategic and operational targets. The role carries direct managerial responsibility. You will report to the Business Support Manager and work closely alongside the Business Support Administrator.As Junior Project Manager you co-ordinate projects from initiation to close out, ensuring all aspects of every project runs smoothly and stays on schedule. You are in charge of planning, budgeting, monitoring and reporting the project to potential clients and management.Job Summary:Planning / Logistics Management
  • You are responsible for identifying the project idea and developing a procedure for implementing it in line with business processes:
  • Construct a comprehensive project plan, defining the project's scope and assigning duties to team members
  • Coordinate and source products and services in line with client brief and budget e.g., location scouting with venue capacity, hire event staff, security, catering, entertainment, and other support services
  • Develop presentations, flow sheets and other documents as needed
  • Manage client expectations, including the acceptance of CEs, scope of work and deliverables
  • Facilitate change requests, ensuring all parties are informed of the impacts to schedule and budget
  • Identify and develop new opportunities with clients
  • Pre-plan production and deploy a daily prioritised work schedule with appropriate time and deadline targets Communicate and co-ordinate the various inputs from staff and suppliers to ensure production processes are followed and on time delivery targets are achieved.
  • Plan, schedule and review workload to ensure production output and on time delivery targets are achieved cost effectively
.ProductionMonitor & review project progress against deadline targets to ensure on time deliveryAdjust the project schedule / run sheet as required and communicate any changes to delivery date with the client accordingly.Finance Management
  • Ensure that the project is managed and completed efficiently within the prescribed budget.
  • Be proficient at being cost-effective. Treat the budget as if it is your own
  • Be open and honest about the costs so that clients know what they expect to pay upfront
  • Update the client if there are any problems or modifications to the projects budget
  • Ensure that the 3 quote system is implemented i.e. multiple quotes for one product or service
.Purchasing & Inventory
  • Source, negotiate and manage the purchase of all products and services
  • Organise, plan and co-ordinate all inventory and manage stock holdings
  • Ensure incoming products are processed and managed according to company procedure
  • Communicate any purchasing issues / delays to project team timeously in order to plan for and effect the necessary changes
  • Ensure supplier processes and payment terms are always adhered to
  • Ensure that the 3 quote system is implemented i.e. multiple quotes for one product or service
.Quality Control
  • Ensure that your run sheet / task list is followed and adhered to at all times
  • Monitor production activity to ensure that sufficient care is taken in order to meet the companys and the customers quality specifications
  • Ensure rejected product / non-conformance is rectified as high priority and that customers are kept informed accordingly
  • Ensure that finished product is well packaged, labelled and delivered according to client specification and agreed delivery date and time
.Business Tools and Processes Project Manager (PM)Create a project with accurate tasks and timelines
  • Plan, execute and scrutinize every element of the project deliverable, ensuring team members and suppliers adhere to project deadlines
  • Ensure that the Project Task List is edited / updated regularly in order to track project progress or highlight possible delays
  • Convert Project Task List information to run sheet
.Shared Drive
  • Ensure that you effectively work in / on the following documents:
  • Operations including company manual, client and supplier database
  • BOMS
  • Cost Estimates (CEs)
  • Project Packs including run sheets, artwork, supplier invoices, POPs and client sign
.Transport Services
  • Plan, organise and execute the transportation and storage of goods or materials for all projects.
  • Take into account variable pricing and timelines on transport services i.e. overnight / air, same day, local versus national
  • Ensure full understanding of transport companys systems and dashboards ie. Uber, Picup, LULA, The Courier Guy
  • Ensure that the 3 quote system is implemented i.e. multiple quotes for one product or service
.Leadership
  • Coordinate, oversee and delegate to a project team in order to fulfil the project idea.
  • Set up a team comprising of members from both offices, including suppliers and temp staff where required
  • Provide any guidelines, training or coaching as and when needed
.Risk Mitigation
  • Foster the ability to adapt and solve problems that could impact the project timeframe and budget, in order to maintain project control.
  • Foresee any potential problems before they arise
  • Manage the extension or modification of a projects deliverables over time e.g. client and / or supplier delays
  • Meet with project team to identify and resolve issues
.Post Project Debrief
  • Manage customer satisfaction by writing up a client debrief report to identify successful and unsuccessful project elements.
  • Assess the efficiency of a project once it is completed
  • Celebrate the positive project aspects
  • Pin-point flaws and make plans on how to address similar problems in the future
.Customer Service
  • Maintain a professional client - supplier relationship at all times
  • Maintain proactive, dynamic and effective communication with customers
  • Offer flexible and helpful customer service to maintain a high level of customer satisfaction and repeat business
.Compliance
  • Implement project in line with all business processes and quality standards
  • Ensure companys vision, mission and values are adhered to at all times
  • Ensure company policies and legal guidelines are communicated effectively and are followed at all times
  • The job role may include other reasonable duties / tasks from time to time.
