Minimum Requirements:
Minimum of Grade 12 Qualification
3-year Tertiary Qualification in a related field
Personal Assistant Qualification
Medical Scheme administration experience (an advantage)
Knowledge of policies and procedures
Outstanding organizational and time management skills
Strong multitasking ability and effective task prioritization
Excellent verbal and written communication skills
Exceptional interpersonal skills for internal and external interactions
Duties and Responsibilities:
Executive Communication:
Coordinate executive communications, including taking calls, responding to emails, and interacting with clients.
Diary Management:
Manage and organize the CEO's schedule, scheduling meetings, and appointments, while also controlling access to the executive.
Travel and Accommodation:
Handle the booking and arrangement of travel, transport, and accommodation for the CEO and executive team.
Document Preparation:
Prepare internal and external corporate documents for team members and industry partners.
Minute Taking:
Accurately record and distribute meeting minutes during executive meetings.
Task Management:
Remind the CEO of important tasks and deadlines, ensuring timely completion.
Reporting:
Compile and prepare reports, presentations, and correspondence as needed.
Document Management:
Maintain an organized filing system for both paper and electronic documents.
Administrative Systems:
Implement and maintain administrative procedures and systems to streamline operations
Stakeholder Liaison:
Liaise effectively with staff, suppliers, and clients, always maintaining a professional demeanor.
Expense Management:
Collate and file expenses related to executive activities.
Special Projects:
Assist with various projects the executive may be working on, including research and report writing.
Professionalism:
Uphold a strict level of professionalism among staff and clients, aligning with the company's values.
Confidentiality:
Exercise discretion and maintain confidentiality in handling sensitive information.
