A company that provides mobility solutions to their clients is looking for an Office Admin Assistant Clerk to join their team at their warehouse and distribution center in Midrand. The ideal candidate will provide vital administrative support to ensure the efficient operation of our office. This role requires strong organizational skills, effective communication, and a commitment to maintaining high standards of customer service and operational efficiency.
Minimum Requirements:
Minimum of a Matric
Proven experience in administrative support or a related field
Proficiency in using office software and equipment
Strong organizational skills with a keen attention to detail
Excellent written and verbal communication skills
Ability to handle phone calls, schedule meetings, and assist visitors professionally
Knowledge of purchase order and delivery note processes
Capable of making travel arrangements for staff
Willingness to learn and adapt to new equipment and techniques
Ability to maintain supplies inventory and liaise with suppliers
Demonstrated ability to work effectively in a team
Mature and open-minded attitude
Willing to accept corrections and admit lack of knowledge when and if necessary
Duties and Responsibilities:
Providing essential administrative support to ensure office efficiency
Answering phone calls, scheduling meetings, and welcoming visitors in a professional manner
Administering the production and receipt of purchase orders and delivery notes to suppliers and installers
Carrying out various administrative duties such as filing, typing, copying, binding, and scanning
Scheduling daily deliveries and remedials as required
Making travel arrangements for staff, including booking flights, cars, and accommodations
Maintaining polite and professional communication through phone, email, and mail
Supporting the team by organizing tasks and facilitating strong communication
Ensuring the proper operation of equipment by completing preventive maintenance, calling for repairs, and evaluating new equipment and techniques
Providing information and addressing questions and requests, including monitoring customer complaints and queries
Managing supplies inventory, checking stock levels, and placing orders as needed, while also liaising and negotiating with suppliers
Contributing to team efforts by accomplishing related tasks
Managing and updating the Sold and Hold report
Ensuring adherence to company policies and procedures, particularly with regard to delivery and client payments
Upholding high standards of customer service and installation quality
Updating and utilizing EIS and other systems correctly
Presenting the company, its employees, and oneself in a professional manner
Ensuring that all departments within your responsibility operate at maximum efficiency, productivity, and cost-effectiveness
Achieving delivery targets as needed
