L&D Administrator - BryanstonFull job descriptionLocation: BryanstonCompany: NestleQualification: Degree level education or equivalent (preferably in Human Resources, i.e. HR Management or Industrial Psychology)Experience: 2-3 years experience in Human Resources (ideally L&D & Talent Management)Closing Date: 18 September 2024Position SummaryThe main purpose of the role is to ensure the organisations compliance and manage the risk in terms of the Skills Development Act, National Qualifications Act, Skills Development Levies Act, SAQA Act, BBBEE Act, BCEA, Labour Relations Act and EEA in terms of skills development. A day in the life of a Learning & Development Administrator: Data Collection & Learning Management System Administration:Collect, organize, and maintain accurate and up-to-date data related to learning and development activities within the organization. This can include training records, participant information, training evaluations, and other relevant data points.Collect and compile data related to the BBBEE requirements. This includes gathering information on ownership, management control, employment equity, skills development, preferential procurement, and socio-economic development.Oversee the collection, organization, and maintenance of skills development data. This includes managing databases or information systems to store and retrieve training records, qualifications, and other relevant data for employees. Ensure data accuracy, integrity, and confidentiality in compliance with relevant data protection regulations for WSP, ATR and GC.Collect and manage data related to employment equity, including demographic information about employees such as race, gender, disability status, and other relevant attributes. Ensure the accuracy, integrity, and confidentiality of the data in compliance with relevant data protection regulations.Oversee the organizations (iLearn) learning management system, including managing user accounts, uploading training materials, and ensuring data integrity within the system, tracking employee progress, and generating reports on training activities.This involves monitoring and troubleshooting any technical issues that may arise.Create Purchase Requisitions (PR) and the Purchase Orders (PO) for all the trainings in preparation of the training to be provided by external service provider. After training ensure that the amount is correctly GR and that the amount is allocated to the correct GL / GR.Support logistics, planning and the execution of training unit the unit where applicable.Reporting, Analysis & Compliance Monitoring:Conduct regular audits and checks to ensure data accuracy, consistency, and completeness. Implement data quality control measures to minimize errors and discrepancies in L&D data.Analyze employment equity data to identify trends, gaps, and areas of concern within the organization. Generate reports that provide insights into the representation and distribution of employees across different demographic groups. Prepare reports required by the Department of Employment and Labour (DEL) as part of the employment equity reporting process.Prepare and submit BBBEE reports to regulatory bodies, government agencies, or other stakeholders as required. This will involve analyzing data, generating reports, and ensuring timely submission.Ensure compliance with BBBEE regulations and requirements by monitoring and tracking relevant data. This involves regularly reviewing data submissions, verifying accuracy, and identifying any gaps or non-compliance issues.Generate periodic reports on skills development activities and progress. This includes compiling data on training completion rates, skills development spends, and compliance with legislative requirements, such as the Skills Development Act and the Broad-Based Black Economic Empowerment (B-BBEE) codes. Provide accurate and timely reports to management, government entities, and other stakeholders as requiredAssist in ensuring compliance with employment equity legislation, including the Employment Equity Act and the relevant Codes of Good Practice. Help the organization meet its obligations in terms of setting and achieving employment equity targets and implementing affirmative action measures. Manage the organisations compliance risk related to the Skills Development Act, National Qualifications Act, Skills Development Levies Act, SAQA Act, BBBEE Act, BCEA, Labour Relations Act and EEA in terms of skills development. Manage the relevant SETA grant application process.Analyze L&D data to identify trends, patterns, and insights. Generate reports and dashboards to provide stakeholders with meaningful information on training effectiveness, participant performance, and organizational learning metrics. This helps in assessing the impact of training initiatives and making data-driven decisions for future L&D strategies.Evaluation and Feedback: Assess the effectiveness of training programs through evaluations, surveys, and feedback from participants. Use this information to improve future training initiatives.Skills Development Facilitator:Funding: Assist in managing and optimizing skills development funding opportunities. This may involve identifying available grants, subsidies, and tax incentives related to skills development and ensuring compliance with funding requirements. Collaborate with finance and HR teams to track and report on the utilization of skills development funds.Successful submission of all legislative reports, that being Workplace Skills Planning (WSP), Annual Training Report (ATR) and associated reports.Align the companys reporting requirements to legislation to meet the needs of SETA, DoL, and/or BEE Act. Ensure that the companys learning requirements are aligned to the Skills Development Act, National Qualifications Act, Skills Development Levies Act, SAQA Act, BBBEE Act, BCEA, Labour Relations Act and EEA.Support all service lines with their annual B-BBEE reporting process and actively manage the skills development element with the B-BBEE verification agency and L&D transformation Manager.Actively participate and represent Skills Development in the companys Employment Equity committee. Play an active role on the companys EE committee by providing learning monitoring information.Engagement with stakeholders both in the company and externally to collate the supporting documents required for completion of the BEE and EE reports.Build professional relationships with relevant stakeholders to understand business needs in area/s of responsibility. Represent the company at the relevant SETA consultative workshops planned for the sector with the L&D Transformation ManagerManage the companys Skills Development Budget.Manage the process to prepare the Skills Development audit sample for submission to the BBBEE verification agency.Documentation and Record Keeping and Audits:Maintain proper documentation and records related to BBBEE compliance, including data collection forms, certificates, supporting documents, and audit trails.Maintain accurate and up-to-date records of skills development activities, including training records, qualifications, and certifications. Prepare documentation and assist in audits conducted by regulatory bodies or external auditors to demonstrate compliance with skills development regulations and requirements.Stakeholder Engagement:Collaborate with internal and external stakeholders, such as management, employees, auditors, and BBBEE verification agencies, to ensure smooth communication and cooperation throughout the process.Work closely with L&D professionals, trainers, HR personnel, and other stakeholders to gather data requirements, understand reporting needs, and provide support in data-related matters. This includes addressing inquiries, providing data insights, and facilitating data-driven decision-making.Liaise with internal stakeholders, such as HR, management, and employee forums or committees, to gather input and feedback related to employment equity. Engage with external stakeholders, such as the DEL, during employment equity audits or inspections. Act as a point of contact for employees seeking information or assistance regarding employment equity matters.Continuous Improvement:Stay updated on BBBEE legislation and regulations and contribute to the development and improvement of internal policies and processes to ensure compliance.Continuously review and improve data management processes, systems, and reporting mechanisms to enhance efficiency and accuracy. Stay informed about emerging technologies and industry best practices in skills development data management and recommend relevant improvements to support organizational objectives. Collaborate with relevant stakeholders to streamline data collection, reporting, and analysis procedures.Keep abreast of emerging trends, technologies, and best practices in L&D data management. Stay informed about advancements in learning analytics, data visualization, and reporting tools to enhance data coordination and analysis capabilities.Employee Listening Champion for the MarketTo support design of Employee Listening Strategy in the Market.To provide technical implementation of surveys, dashboards, comparison etc.To support the implementation of best practices of Employee Listening within the Market.
