This role offers a unique opportunity for a recent graduate with experience as a Skills Development Facilitator and strong reporting and organizational skills. The Administrative Intern will provide pivotal coordination and administrative support to the Learning Department in South Africa, ensuring the efficient execution of key tasks and projects.As the backbone of the department, this position will uphold our commitment to excellence, ensuring all learning initiatives are executed with the highest standards of quality and professionalism. This role is integral to maintaining effective organizational processes and providing exceptional service to employees, bursars, and stakeholders.Key Responsibilities:xc2xb7 Task Coordination & Administration: Efficiently manage and coordinate all assigned tasks, ensuring they reflect the high standards of the Siemens Learning Department.xc2xb7 Commercial & Financial Duties: Handle financial aspects of the Learning portfolio, including purchase orders, requisitions, goods receipts, cost transfers, invoice processing, and payment verifications.xc2xb7 Learning Application Verification: Review and verify learning applications, ensuring all documentation is accurate and amounts align with invoices or fee statements. Follow up with employees to resolve any discrepancies.xc2xb7 Employee & Bursar Support: Address daily administrative queries from employees and bursars, offering prompt solutions and maintaining smooth communication.xc2xb7 Catalogue & Course Management: Maintain and update the learning catalogue, liaising with training providers, editing courses as necessary, and ensuring timely enrolment approvals.xc2xb7 External Bursar Support: Assist external bursars with applications, liaise with educational institutions, and ensure timely processing of ad-hoc payments (e.g., accommodation, living allowances).xc2xb7 SETA Liaison: Support Skills Development Facilitators with SETA-related activities, ensuring compliance with relevant regulations.xc2xb7 Training Documentation & Filing: Collect, organize, and file all training-related documentation, maintaining a structured filing system for easy retrieval.xc2xb7 Database Management: Maintain and update the Learning Department's database, ensuring data accuracy, integrity, and compliance with internal policies.Qualifications & ExperienceEducational Qualifications:xc2xb7 B.Com Degree in Accounting, Business Administration, HR, Training, or Development.xc2xb7 National Diploma/Degree in Human Resources, Skills Development, or Learning & Development is highly favourable.xc2xb7 NQF Level 5 or higher in Training and Development is advantageous.Experience:xc2xb7 0-1 years previous experience in Learning and Development administration, coordinating training schedules, and working with training providers.xc2xb7 Experience as a Skills Development Facilitator (SDF), including working with Skills Development Plans (SDPs) and Workplace Skills Plans (WSPs), is highly advantageous.xc2xb7 Familiarity with financial processes, including budgeting, purchase orders, and invoicing related to training programs.xc2xb7 Certifications:xc2xb7 SDF Certification (Advantageous)xc2xb7 Facilitator Certification (ETDP SETA) would be beneficial.Required Skills & Competencies:xc2xb7 Technical Proficiency:xc2xb7 Intermediate knowledge of Microsoft Excel, Word, PowerPoint, and Outlook.xc2xb7 Familiarity with Learning Management Systems (LMS) or Training Management Systems (TMS) is an advantage.xc2xb7 Strong reporting and data management skills.xc2xb7 Communication Skills:xc2xb7 Fluent in written and spoken English (Business communication).xc2xb7 Excellent verbal and written communication skills, with the ability to create concise reports and liaise with internal and external stakeholders.xc2xb7 Organizational & Time Management Skills:xc2xb7 Ability to manage multiple tasks simultaneously and meet deadlines.xc2xb7 Strong attention to detail, ensuring accuracy in records and documentation.xc2xb7 Problem-Solving & Decision-Making:xc2xb7 Proactive and able to identify issues and provide solutions effectively.xc2xb7 Capable of making informed decisions with limited supervision.xc2xb7 Adaptability:xc2xb7 Ability to adapt to changing priorities and work effectively in a fast-paced environment.xc2xb7 Open to feedback and eager to learn new processes.Personal Attributes:xc2xb7 Energetic and enthusiastic with a proactive approach.xc2xb7 Self-motivated and capable of working autonomously.xc2xb7 Strong interpersonal skills, with the ability to build relationships and collaborate effectively with a diverse team.xc2xb7 Client-centric, with a focus on providing high-quality service to both internal and external stakeholders.xc2xb7 Resilient, with the ability to manage stress and maintain focus under pressure.xc2xb7 Innovative thinker, with a strong desire to continuously improve processes and outcomes.Reporting Manager: P&O HeadOur culture:Our culture embraces different perspectives, open debate, and the will to challenge convention.
