The logistics coordinator is responsible for managing the distribution and transportation of goods, ensuring timely deliveries, and maintaining all logistical documentation. This role requires a high level of organisation, problem-solving skills, and the ability to manage both local and international shipments efficiently. The ideal candidate will work closely with procurement, warehouse, and production teams to ensure that all logistical processes align with company deadlines and client expectations.
Key responsibilities
1. Local distribution and fleet management Plan, schedule, and coordinate the daily delivery of goods to local clients. Develop and maintain an optimised driver schedule to ensure timely and cost-effective deliveries. Monitor and update the vehicle checklist and inspection sheets, ensuring all company vehicles meet roadworthiness and safety standards. Oversee fuel usage, mileage tracking, and maintenance schedules to ensure fleet efficiency. Ensure drivers adhere to company policies, including loading and unloading procedures, route planning, and delivery deadlines.
2. International shipping and export compliance Plan and coordinate all international shipments, ensuring compliance with import and export regulations. Work closely with freight forwarders, customs agents, and international shipping companies to manage shipments efficiently. Prepare and review all necessary shipping documentation, including: Certificate of conformity (CoC) - ensures products meet regulatory requirements. SAD500 form - customs declaration document for exports. Certificate of origin (COO) - verifies the country of manufacture for customs clearance. Packing lists, commercial invoices, and airway bills to accompany shipments. Ensure all export-related paperwork is completed accurately and submitted on time to prevent delays at customs. Monitor international shipping schedules and adjust plans to accommodate changes in delivery timelines.
3. Logistics coordination and planning Track all outgoing shipments and deliveries, ensuring timely dispatch and customer satisfaction. Coordinate warehousing and storage solutions for goods awaiting dispatch. Liaise with the procurement team to ensure logistics schedules align with stock availability and project deadlines. Maintain real-time tracking of shipments and provide updates to internal teams and clients. Identify and resolve logistical bottlenecks, transport delays, and supply chain disruptions.
4. Documentation and compliance Ensure all shipment records, waybills, invoices, and proof of delivery documents are filed and accessible. Maintain accurate records of all import and export transactions, ensuring compliance with customs and trade regulations. Conduct periodic audits of logistics records to verify documentation accuracy. Ensure logistics operations align with ISO standards and company policies.
5. Cost and efficiency optimisation Continuously analyse and improve logistics processes to reduce costs and improve efficiency. Compare quotes from different transport providers and negotiate the best rates. Develop strategies to reduce transit times, fuel consumption, and shipment delays. Identify and implement logistics software tools to streamline operations and improve shipment tracking.
6. Problem-solving and ad hoc support Quickly address logistics-related issues, such as lost shipments, damaged goods, and customs clearance problems. Work with procurement and warehouse teams to prioritise urgent deliveries. Provide logistical support during peak periods and special projects. Assist in stock management and inventory control where required.
Experience and qualifications
Educational requirements Diploma or degree in logistics, supply chain management, business administration, or a related field.
Key skills and competencies
Technical skills:
Strong knowledge of local and international shipping regulations. Proficiency in Microsoft Office (Excel, Word, Outlook) and logistics software. Experience with customs documentation and export processes (e.g., SAD500, CoC, COO). Ability to create and maintain delivery schedules, fleet reports, and shipment tracking systems.
Soft skills:

Experience requirements Three to five years of experience in logistics, supply chain coordination, or a similar role. Previous experience in freight forwarding, transportation management, or warehouse operations is an advantage.
