Job Title: Logistics Coordinator
Location: Bellville, Cape Town
Job Type: Full-timeJob Purpose:
The Logistics Coordinator will be responsible for ensuring every client receives every container they require on the designated vessel in a timely and efficient manner. The role involves planning, executing bookings, and managing the logistics process from start to finish.Key Responsibilities:

  • Client Coordination:
  • Communicate with clients to plan and schedule bookings.
  • Advise clients on vessel options for their chosen routes and services.
  • Discuss forecasts, provisional bookings, and confirm booking reconciliations with clients for upcoming loads.
  • Communicate any operational issues that could impact client bookings and provide timely updates.
  • Booking Execution & Management:
  • Execute and follow up on bookings to ensure timely delivery.
  • Process bookings and update systems (Navision) accurately, including housebill and non-manual bookings.
  • Work with shipping lines to book containers and confirm booking details.
  • Liaise with transporters and loading points regarding available time slots and schedules.
  • Submit booking requests to relevant parties (Intrra, shipping lines, etc.) and ensure confirmation is received and filed correctly.
  • Operational Support & Problem Solving:
  • Handle same-day bookings and resolve any immediate operational challenges, such as short shipments, stack shuffling, and loading issues.
  • Ensure that all documents required by DAFF/PPECB/Bureau Veritas are in place for shipment inspections and permits.
  • Follow up on the verification process for EU shipments and chase outstanding VGM details from clients and haulage.
  • Invoicing & Reporting:
  • Generate and send release requests to shipping lines and housebills.
  • Capture additional costs and submit to the Logistics Manager for sign-off.
  • Handle the invoicing process and submit the final invoices to Finance after validation.
  • General Administration & Communication:
  • Maintain accurate records of all booking and operational data within the system (Navision).
  • Handle day-to-day client queries and escalate issues to the Logistics Manager as required.
  • Continuously communicate any delays and issues to all affected parties to mitigate disruptions.
Requirements:
  • Experience:
  • Previous experience in logistics, shipping, or transportation coordination is essential.
  • Familiarity with systems like Navision or similar ERP software is highly advantageous.
  • Ability to handle same-day bookings and work in a fast-paced environment.
  • Skills & Qualifications:
  • Excellent communication skills (both verbal and written).
  • Strong organizational and time-management abilities.
  • Ability to solve operational problems quickly and efficiently.
  • Knowledge of shipping regulations, including DAFF/PPECB/Bureau Veritas requirements and import permits.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Additional Requirements:
  • Ability to work independently and as part of a team.
  • Strong attention to detail and accuracy.
  • Ability to work under pressure and manage multiple tasks simultaneously.
