Job Description


THE POSITIONReporting to the Engineering and Maintenance Manager. The incumbent must;Ensure scheduling, coordination and resourcing of maintenance activities to achieve maximum production and asset efficiency / availability.Responsible and accountable for the effective operation of the CMMS and MRO Systems. He/She administers, manage, configure and control all asset management data in the CMMS as well as generate and distribute Maintenance Management Reports (KPI's) on a weekly basis.Supervise all engineering stores activities making sure the right spares are available at the right time.KEY PERFORMANCE AREAS:Responsibilities include, but are not limited to the following:

  • Plan, schedule and co-ordinate routine and major plant shutdowns taking account of shut work, major maintenance, capital work, statutory and operational requirements.
  • Create and review the maintenance plans and jobs, by updating and reviewing changes, in order to optimize utilization of engineering resources, in conjunction with the Engineering Management team;
  • Manages the DMS system, and submits system management reports to the Engineering Manager.
  • Manages the RCFA System database.
  • Carries out job loading for maintenance personnel.
  • Chair weekly planning meetings with maintenance foremen and production team leaders to discuss scope, dates and requirements for all maintenance work orders.
  • Develop 2-weekly rolling maintenance plans.
  • Follow up on status of spare parts that needs to be ordered for maintenance work orders.
  • Capture work orders as they come in. Create work orders from completed PM Schedules.
  • Arrange quotes for services due on equipment.
  • Study & manage approved work requests (job cards).
  • Creation & updating of purchase requisitions, following up on quotations.
  • Report daily and monthly on schedule attainment per department.
  • Develop and maintain effective Key Performance Indicators (KPI's) for maintenance performance including plant efficiency/availability, cost, quality, safety, shuts, planning, etc. Update KPI Tracking Board on a weekly basis.
  • Update CMMS Calendar and tracking Board on a monthly basis.
  • Manages the Technical Library, builds / gathers technical data.
  • Co-ordinate standby lists for Production and Engineering support.
  • Responsible for managing and mentoring the Stores Clerks.
  • Responsible for investigating and identifying root causes of inventory discrepancies in the receiving and issuing of spares processes. Develop corrective actions to prevent recurrence.
  • Ensure all the spares master data in DMS, such as spares re-order points, re-order quantities, location, quantities on-hand, default supplier, etc. are correct and accurate.
  • Ensure that all spares stock is fully reviewed at least once per year and that all redundant stock are scrapped.
  • Do weekly stock replenishment runs. Generate Purchase Requisitions when doing stock replenishment runs.
  • Ensure spares are delivered on agreed delivery dates. Discuss and do troubleshooting with suppliers when delivery dates are not met.
  • Initiate monthly and bi-annual stock takes.
  • Ensure the Engineering Store and its content are secure at all times.
  • Manage Health and Safety in the Stores including housekeeping.
  • Ensure that inventory is easily accessible and safely stored for employees working in the Stores.
  • Ensure that all stores systems and procedures are adhered to at all times and are updated where and when necessary. Use NCR process to record deviations.
  • Maintain and report on Spares Inventory KPI's. Distribute report on a monthly basis.
  • Ensure all Stores Documentation are securely stored for at least 2 years.
  • Develop and maintain effective Key Performance Indicators (KPI's) for maintenance performance including plant efficiency/availability, cost, quality, safety, shuts, planning, etc.
QUALIFICATIONS/SKILLS AND EXPERIENCE:
  • Recognised trade
  • Tech or N.Dip (Electrical or Mechanical)
  • 3 years experience within maintenance planning environment
  • Computer Literate
  • CMMS Experience
  • Continuous improvement experience eg (WCM / Lean/ Six Sigma).
  • Ability to communicate and influence effectively across the organisation.

  • Internal: Engineering Manager, Operations Managers, Converting Engineers, Converting Management Team, Maintenance Foreman, All Mechanical, Electrical and Instrumentation technician and artisans, Stores Personnel, Maintenance Planner, Safety and Risk Personnel, Admin and Financial Departments, Human Resources, Buying and Training Departments.
  • External: Approved Technical Suppliers/Contractors, Appointed Consultants.

  • Self-starter, energetic and highly motivated individual with superior analytical capabilities and an intense desire to identify and solve problems.
  • A highly computer literate person (ERP/MRO/CMMS/MS Office) with excellent communication skills and leadership qualities.
  • The ability to identify, visualize, articulate, and deploy plant maintenance improvement solutions.
  • A person with high integrity and able to make decisions under pressure.
  • A person that is prepared to work outside normal working hours and do management standby duties. The successful candidate must be able to delegate effectively and empower subordinates by giving them real responsibility and authority to use their own initiative and discretion (within boundaries), and to be accountable for their own results.
