Leads and Manages the Operations, HR, liaison with WHC and other shared organizational functions, and critical support stakeholders

Key performance areas:Strategy Development and Implementation
Assist the Executive Director and Senior Team in shaping the strategy, and the subsequent implementation of the organisations vision, strategy, and plans
Translate strategy into established practice/implementation
Drive the development, documentation and implementation of Ezintshas overarching strategy, annual performance plans, annual operational plans, and respective business unit operational plans, with input from the Senior Team
Constantly monitor the environment to ensure that supportive policies, processes and functions are appropriate and efficient in order to deliver the organisational mission and vision
Ensure alignment of business plans to Ezintshas strategic vision
Develop and/or review all standard operating procedures (business processes) for the whole organisation to align with Ezintshas strategy
Cohesive Organisational Management
Build and lead the operational management team to manage the daily functions of the organisation in their respective areas
Oversee Operations, Finance, HR, the WHC relationship, and other shared organisational functions
Ensure the organisation has an appropriate structure that is supportive of the organisational strategy
Assist the Executive Director in building consensus and relationships among senior managers, stakeholders, and the workforce
Drive change management processes to ensure successful uptake of improvements
Implement corrective action plans to solve organisational or departmental problems.
Support business initiatives and strategic marketing and outreach efforts to ensure organisational visibility, revenue and market share growth, financial sustainability, and value for money
Provide consultation and expert advice to management and/or other groups on technical, systems or process related topics
Effective Risk Management
Review, align and improve organisation-wide, divisional and WHC Risk Registers as appropriate
Monitor and review information from materials, events, and the environment to detect or assess problems/risks
Ensure all identified organisational risks are surfaced, mitigated and resolved
Strengthen Organisational Planning & Monitoring and Evaluation (M&E)
Participate in the development and implementation of an organisational level M&E framework for all Ezintshas organisational operations and activities
Evaluate the effectiveness of implemented operations, operational contracts, service providers SOPs, forms, and templates to improve organisational efficiency
Use organisational strategy as a foundation to develop an organisation-wide implementation plan
Guide and ensure that each portfolio develops an operational plan aligned to the organisation[1]wide implementation plan and organisational strategy
Implementation, monitoring and reporting of all strategic and operational plans
Streamline Stakeholder Management
Develop streamlined processes for the identification, tracking and development of strategic business relationships with external stakeholders
Interpret and explain policies, rules, legislation, regulations to management, donors, organisations or corporate officials or individuals
Present information at meetings or conventions to promote services, exchange ideas, or accomplish objectives
Effective People Management
Provide effective oversight and communication to ensure a unified and engaged workforce who remain motivated and responsive to change, operational plans and performance evaluations
Oversee Management and administration of the annual calendar of programs, activities, and events
Provide guidance and direction to subordinates, including setting performance standards and monitoring performance
Provide ongoing feedback to the team to ensure they develop the skills and competencies required for effective planning and individual professional and personal career growth
Encouraging and building mutual trust, respect, and cooperation among team members
Driving the companys operational capabilities to surpass customer satisfaction and retention
Chair meetings and ensure their effectiveness in improving operational efficiencies
Effective Financial Management
Work with the Head of Finance to develop, monitor and manage budgets for all aspects of the organisation
Assist in improving and strengthening the financial viability, risk management, and governance
Monitor the implementation of financial policies and activities of the organisation to ensure continuing operations to maximise returns on investments and increase productivity
Report to the Senior Team on finance as and when required
Support Organisational Governance
Prepare reports concerning activities, expenses, budgets, government statues or rulings or other items affecting the organisation, its business units or programmes and services for the relevant management meetings and present them as and when required
Assist the Executive Director and the Senior Team to ensure compliance with all applicable legislative frameworks and regulations including meeting deadlines for reporting
Required minimum education and training:
Masters Degree in Leadership/Management/or Governance, or demonstrated equivalent experience
Required minimum work experience:
Five or more years of experience in executive leadership roles
Minimum 5 years experience in developing and managing all the operations of a medium size organisation
Minimum 5 years experience in managing the finances of a department or organisation
Minimum 5 years experience in participating in governance structures of an organisation including a Board of Directors and its Committees
Experience of donor funded environments and/or medical research/academic environments an advantage
Desirable additional education, work experience and personal abilities:
Knowledge of effective end-to-end operations of a medium-sized organisation
Demonstrable competency in strategic planning and business development
Outstanding organisational and leadership abilities
Understanding of change management processes
Works effectively under pressure, continuing to make effective decisions
Ability to work on several projects simultaneously with attention to detail and within timelines
