Our client is a leading travel management business with a worldwide presence that specializes in three main areas: inbound and outbound leisure travel, inbound and outbound incentive travel, and inbound and outbound sports tourism.

KEY RESPONSIBILITIES
Assess client needs in terms of special interests, special needs, and affordability/budget
Quoting of all services requested by clients within the required turnaround time
Reservations of all services requested by clients
Acknowledge receipt of written requests received from agents
Respond to written requests and provide written confirmations
Opening of client files according to my client standards
Loading reservations on Tourplan
Ensure confirmation of services with suppliers
Stay in constant communication with agents with regards to status of reservations, payment requirements, deadlines, and conditions of reservations
Arrange Meet and Greets as required
Documentation Management of all Reservations:
Itinerary planning and layout
Compile travel packs for clients
Vouchers
Rooming lists
Filing
Ensure that clients invoiced for all services and invoices provided to clients timeously
Manage payments and Account queries
Book tour guides services as required
Ensure that the best rates are always negotiated and secured with the preferred supplier
Here are the tasks involved in our client servicing:
Evaluate client needs in terms of special interests, special needs, and budgetary constraints
Provide quotes for requested services within the required turnaround time
Reserve all requested services for clients
Confirm receipt of agents written requests
Reply to said requests and furnish written confirmations
Establish client files in line with clients regulations
Enter reservations into Tourplan
Ensure suppliers confirm services
Keep agents updated on reservations, deadlines, payment requirements, and reservation conditions
Make Meet and Greet arrangements as necessary
Manage documentation for all reservations:
Develop itinerary plans and layouts
Compile travel packs for clients
Create vouchers
Prepare rooming lists
Filing
Invoice clients for all services and provide prompt invoicing
Handle payments and account inquiries
Book tour guide services as needed
Secure the most favorable rates with our preferred suppliers
Requirements
Matric / Grade 12
Travel & Tourism qualification would be preferable
EXPERIENCE
A total of three years of professional experience handling group and series bookings in the tourism sector.
REQUIRED SKILLS
Proficiency in written and spoken Mandarin
Ability to comprehend complex and detailed group costing and itineraries
Preferably skilled in Tourplan and its execution
Familiarity with group bookings, quotations, and costings
Proficiency in negotiating with suppliers for availability and rates
Understanding of customers needs and products
Excellent knowledge of South African and regional geography
A strong product and logistical knowledge Matric certificate. Travel & Tourism qualification. 3-5 years of experience in the Tourism Industry. Knowledge of the Marathon World is essential. Experience with Tourplan is required.
