Join their dynamic team and be part of an exciting journey towards future success!We are seeking a dedicated Office Coordinator to oversee key administrative, accounts, and operational functions within our client's head office.
This role ensures the seamless management of branch operations, staff coordination, paperwork accuracy, and supplies management.Key Responsibilities: Staff/Branch Management:

  • Monitor branch paperwork and stock management (e.g., stock counts, checking and managing stock in vs. stock out, balancing physical stock to online stock count).
  • Identify and correct paperwork errors from branches, guiding staff as needed.
  • Address branch staff problems, queries, and minor disciplinary issues (e.g., paperwork concerns, staff complaints, keeping records of staff leave).
  • Report major disciplinary issues to senior management.
  • Conduct branch visits to perform physical stock counts.
Administrative Oversight:
  • Manage branch leases (renewals, etc.) and staff contracts (e.g., registering for UIF).
  • Order and maintain essential office and branch supplies (e.g., stationery, labels, toner, tea/coffee, packaging materials).
Paperwork & Sales Management:
  • Oversee branch paperwork and capture daily sales data.
  • Process and assemble branch orders based on their requirements daily.
  • Handle daily stock transfers from head office to various branches using Pastel.
  • Process branch invoicing and manage orders using accounting software.
Error Tracking & Staff Discipline:
  • Collaborate with relevant staff to track faulty orders packed at the head office.
Requirements:
  • Proven ability to thrive in a fast-paced office environment.
  • Strong organizational skills with the ability to maintain accurate records.
  • Proficiency in accounting software such as Sage (experience with Pastel is a plus).
  • Quick learner with a proactive attitude toward problem-solving.
  • Ability to work effectively under pressure and meet deadlines.
  • Versatility to learn all aspects of co-workers roles and provide support during their absence.
  • Basic bookkeeping skills (preferred).
  • Excellent numerical aptitude and attention to detail.
  • Confidence in addressing and resolving minor staff errors or disciplinary issues.
